Job Description : Job Title: Administrative Support StaffDefinition of Position: Responsible for reception and clerical duties at SPARC.Title of Immediate Supervisor: Office ManagerSummary of Duties and Responsibilities: Maintains patient files and all pertinent data collection and/or agency reporting system according to WAC’s, RCW’s, HIPAA, federal regulations and contract requirements. Provide reports as required or requested by administration.Works with all referral sources, private pay individuals, DSHS, DOH, etc. Provides program information and education and represents SPARC professionally on-site and in the community.Greets, in person and over the telephone, all visitors, individuals, family members, referral sources and team members in a professional manner giving assistance and direction as necessary.Is responsible for updating rosters, typing and/or distributing all other necessary intra and interagency communication as suggested by administration.Will be responsible for office tasks, including but not limited to, answering phones, scheduling individual’s appointments, ensuring all paperwork is ready and electronic/paper charts are ready, staff meeting preparation, filing, supply inventory, individual transport (at residential), individual/SPARC mail on a daily basis, running errands, assisting co-workers, and data entry.Will be responsible for taking payments, writing receipts, ensuring proper cash handling procedures, ensuring individuals’ ability to pay for services (medical verification, pay stubs, etc.) and maintaining the individual financial files.Ensuring the front office runs effectively and efficiently.Must be able to appropriately represent and follow SPARC philosophy, mission statement and all policies and procedures pertaining to your position with SPARC.Attend workshops and professional development as stipulated by supervisor.Will observe SPARC’s Code of Ethics and will sign Oath of Confidentiality.Minimum Qualifications: Must demonstrate empathy and establish rapport with recovering addicted persons.Must demonstrate basic secretarial skills.Must demonstrate appropriate boundaries with individuals.Must possess excellent time management and organizational skillsExcellent communicative skills working with vendors, individuals and co- workers.Must be a high school graduate or equivalent.Must have understanding of basic computer skills, i.e. spreadsheets, word processing, email, electronic medical record system, etc. Must be able to operate 10-key, fax machine, copy machine, multi-line telephone system, and other basic office equipment.Must be in good physical and mental health and obtain a pre-employment TB test. A TB Risk Screen will be conducted annually with follow through of recommendations dependent on responses.Must possess a valid Washington State Driver’s License.Must consent to a Washington State Criminal Background Check.Job Type: Full-timePay: $16.00 – $18.00 per hourBenefits:Dental insuranceHealth insurancePaid time offProfessional development assistanceRetirement planVision insuranceSchedule:8 hour shiftMonday to FridayWork Location: One location
