General Summary: The Health Services Clinic Manager provides administrative and clerical support to the Director of Health Services, provides or supports general reception of visitors & patients in the Student Health Clinic and front desk area; is responsible for responding to email, voicemail and electronic health portal inquiries; provides overall operations management for the Health Services office and clinic and is responsible for patient records management and health registration hold processes and ensures the preservation of HIPAA compliance in the department. Effectively demonstrates the mission, vision and values of the department on a daily basis.

Job Description:

Administrative Support for the Director of Health Services:

Assist the Director of Health Services (DHS) in the performance of administrative responsibilities, including managing calendars, scheduling meetings, composing correspondence, coordinating meeting and event arrangements, composing meeting agendas, assisting with Health Services meetings and interfacing with university constituencies and the public.

Health Services Operations Management:

Manages and supports key HS (Health Services) operational tasks, including training for HS staff, coordination of quarterly medical emergency drills, communication of campus health related policies, reporting and response.
Assist with management of professional staff transitions.
Tracks licensing requirements for clinic and clinical staff in coordination with DHS.
Manages inventory of medical, laboratory and office supplies in coordination with the DHS.
Manages billing for HS charges, payments received and reimbursement processes in coordination with the DHS.
Manages purchase requisitions, office purchases on procurement card, request for payments and refunds, fund transfers, re-class forms, petty cash, etc. Tracks all expenditures through monthly reconciling and generation of monthly and annual budget reports,

Health Services Office Management:

Maintains the office as a welcoming, positive, and responsive environment.
Is familiar with and ensures department compliance with university and health related regulations including HIPAA, privacy laws, records retention, infection prevention and response, and others in coordination with the DHS.
Primary responsibility for office reception and phones, response to the HS department email, voice mail and electronic portal messages, health records processing, reporting and management in compliance with all applicable regulations and ordering and maintaining office and printer supplies.
Oversees hiring, training, and supervision of administrative assistant in coordination with the DHS.
As needed, performs general secretarial and clerical duties, greets people at the front desk, answers phones, schedules patient appointments, updates medical records and registration holds, prepares charts for clinical appointments, processes mail, filing, faxing, copiers and multi-line phones, Common surface disinfecting and clinic laundry.

Department Technology & Software Application Oversight:

Stays current with and organizes all department technology and software applications related to the work of Health Services, including department use of Medicat, WAIIS, Quest, StarRez, Banner, SharePoint, Formstack, Interview Exchange and Argos.
Manages department technology projects and equipment.

Health Services Website & Communication:

Updates and maintains HS website content
Creates and manages department social media.
Composes and sends campus-wide department communications in coordination with Director of HS.

Crisis Management:

Responsible for the implementation of the University Emergency/Disaster plan/Crisis management response for Health Services in coordination with the DHS.
Coordinates and schedules regular emergency response drills for HS team
Manages inventory for emergency response supplies


Bachelor’s degree required. Bachelor’s in Healthcare administration or other healthcare related field, a plus.
At least one year experience in an clinical office setting. 2-3 years working in healthcare office environment, preferred.
Familiar with/experience with infection prevention requirements including the regular use of PPE, multiple vaccine requirements and regular testing requirements.
An understanding of and demonstrated commitment to engaging issues of diversity and inclusion and supporting underrepresented student success at predominantly white institutions.
Proficient with Microsoft Office suite including Outlook, Word, and Excel. Experience with SharePoint, preferred.
Experience with Medicat, Banner (Elucian), Formstack, Interview Exchange, Argos, Teams and Zoom, a plus.

Additional Information:

Position will remain open until filled. This is a full time position 10 months of the year, typically mid-August through mid-June (mid-June through mid-August off appointment).

Salary: $23.23 – $24.39 per hour

This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance.
