Responsibilities:
General Summary
The Payroll Administrative Assistant supports the Payroll Department with a broad range of administrative and clerical functions, large scale and complex projects, and assignments that require interaction with those across the organization.
Essential Job Responsibilities
Manages and audits the PTO accrual for clinicians and enters holidays in time and attendance module in ADP Workforce Now
Assists Payroll Manager by entering administrative non-clinical services in our provider timekeeping system
Responds to requests for information and telephone inquiries in accordance with established standards and procedures
Downloads semi-monthly payroll reports from ADP Workforce Now and maintains an accurate filing system
Prepares and distributes payroll reports to the Human Resources team
Assists Payroll Director with registering businesses for withholding and unemployment taxes in new states in which we conduct business
Performs monthly 401k and HSA benefit reconciliations
Prepares general ledger files and assists with interface to Accounting system
Acts as a liaison with the Accounts Payable department to ensure they have invoices for all payroll and tax services
Responsible for being cross trained in all phases of payroll processing for multiple entities.
Maintains confidentiality of all information
All other reasonable job duties as assigned
Qualifications:
Skills
Articulate with excellent verbal and written communication skills
Ability to think creatively, highly-driven and self-motivated
Must be highly organized and detail oriented with the ability to manage multiple tasks at one time
Strong customer service focus
Willing to learn reporting, billing, and payroll applications/systems
Education
High School Diploma with equivalent work experience
Knowledge
Proficient in Microsoft Excel
