Position : Patient Service Representative

Job Description : Fulltime M-F position available in a very busy neurology office. Hours: 9-5pm with a 1hr unpaid lunch, 35 total working hours per week. Candidates must possess excellent phone/computer skills, compassion toward patient care, professionalism, initiative, time management, communication proficiency and strong work ethics. At least 1-year experience in a medical office is preferred. Fluent in Spanish preferred but not a requirement. Must be able to travel between our Morristown and Summit, NJ office locations. SERIOUS APPLICANTS ONLY!!!!!SPECIFIC RESPONSIBILITIESWelcomes and greets patients/clients/visitors to the department in a manner that is helpful and friendly; determines purpose of visit and direct patients/clients/visitors to appropriate person or department(s).Assist patients to complete all necessary forms and documentation including medical insurance.Answers the phone while maintaining a polite, consistent phone manner using proper telephone etiquette (Heavy call volume). Receive and convey messages in writing, verbally and electronically as well as transfer calls as needed.When scheduling appointments, carefully screens patients for new address, new patient visit or update registration and informs patient of adequate information that must be presented at time of visit.Schedule hospital admissions, tests, scans and outside appointments for patients.Checking patients in/out for their office appointments. Facilitates patient flow by notifying the provider of patients’ arrival, being aware of delays, and communicating with patients and clinical staff.Obtain external medical reports as required by medical professionalsMust exercise utmost diplomacy and tact to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to Clinic policies and HIPAA requirementsMaintains patient waiting areas, office files, and front-desk areas in a manner that is organized and neat.Informs patient of any existing balance noted in computer and request patient be prepare for any payment due at time of visit.Calls patients daily to confirm upcoming appointment(s).Verifies method of payment for service (Medicaid, Medicare, private insurance, private payee, etc.) and collects data and/or payment as appropriate. Collect co-pays and payments.Fax, scan, and file documents (Scanning of medical records patient’s EMR).Prepare documents for mail-outOpen, stamp appropriately and distribute incoming mail.Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.Maintain stock of office suppliesPerforms other duties as may be required.QUALIFICATIONSUnderstands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards.Must have the ability to exercise a high degree of diplomacy and tact; excellent customer services and interpersonal communication skills; Cultural sensitivity and demonstrated ability to work with diverse people groups.Intermediate to advanced phone skills; able to effectively relate via the telephone and in-person to serve the needs of Clinic patients/clients/visitors in a manner that is efficient and productive.Must be highly flexible; able to accommodate changing needs of the department.Well developed verbal and written communication skills. Additional language abilities desirable. (Spanish Speaking a plus)Ability to communicate with a diverse range of peopleAbility to work well under pressure with minimal supervision.
