Job Summary
Provides exquisite customer service to help families navigate the end-to-end program application process with exceptional communications and attention to detail. Performs various tasks to determine applicant eligibility to various KS programs. Works collaboratively with various KS groups in support of applicants.
Essential Responsibilities
Customer Support and Community Outreach
Facilitate application completion and answer questions about the process.
Represents KS on campus or in the community as needed and is able to assist with workshops, orientation, informational meetings or other activities in support of KS and various program applications.
Provides on-campus tours as needed.
Counsels the parents of children regarding their admissions outcome to KS and interprets evaluation results, providing guidance and options.
Applicant Assessment
Responsible for the timely and accurate review and recordation of scored documents for K-12 applicants to include report cards, reference reports, writing samples and stanine tests. Ensures consistent and appropriate reviews of applicant scorecard conversions and calculations are completed in time for rating committee.
Operations
Supports applicant recruitment, application completion, scoring/rating and selection to meet the needs of the various KS educational programs.
Manages the student application intake process for a variety of KS programs.
Determines program eligibility through application review and validation of documents for appropriateness, completeness and accuracy.
Uses applicant statuses to complete generation of lists for letters and conduct flat file reviews at various stages of the process.
Follows-up with applicants/families to validate application information, when the information is unclear or questionable and assists in the completion of applicant assessments relative to the components needed to assess a final score.
Schedules test and interview dates for applicants based on campus and grade.
Inputs, scans and/or uploads applicant information.
Communicates timely, professionally, consistently and effectively with a diverse group of applicants in response to processing questions or program requirements. This includes in person, telephone or email interactions.
Documents all communications with families in the system of record.
Generates mailings to applicants/families of certain statuses based on the master calendar schedule using approved communications (letters).
Responsible for post-lottery preschool preparation.
Administrative Support
Supports the Campus Admissions Office with division needs and admissions process logistics and coordination.
Supports in the preparation and administration for testing and interview sites to include but not limited to the following.
Acts as a host or monitor during testing, interview, or observation sessions.
Test proctoring, training, score validation and conversion reviews.
Applicant packets for the various stages of the application process: selection committee, invited students.
Performs accurate scoring and rating of KS K-12 program applicants using the rubric and detailed instructions. Scoring and rating may include: report cards and reference reports review.
Performs Gifted and Talented screening through document review.
Adheres to operational quality control standards in day-to-day work and assists to quality review other work products.
Works collaboratively with other KS units to ensure clear, consistent communications that support the admission of applicants to our campuses and programs.
Trains other support staff (including temporary/seasonal employees) regarding general operations and applicant processes and procedures.
Raises potential staff conflict of interest, applicant fraud and/or staff or applicant tampering situations to management in a timely and factual manner.
Participates in various department planning and process improvement meetings. Identifies and recommends process improvement opportunities.
Identifies exceptions in the process and evaluates solutions to propose to the processing manager.
Generates appropriate and timely standard reports to complete applicant reviews.
Position Requirements
Minimum Qualifications – An equivalent combination of education and experience may substitute for the requirements listed.
Associate’s Degree
Minimum 2 years of related work experience in administrative procedures and systems.
Strong organizational skills to handle multiple assignments, tasks, timelines and deadlines.
Detail-oriented, careful, accurate and thorough work habits.
Demonstrated ability to remain flexible in a demanding, fast-paced, high-volume work environment. Adapts quickly and efficiently to implement change.
Work independently with minimal supervision.
Ability to identify issues, determine and analyze options and present solutions to address existing or potential problems.
Ability to work with confidential and sensitive information.
Familiarity with business processes and internal controls in a business environment.
Ability to articulate various policies and procedures with a variety of audiences, both internal and external.
Ability to work collaboratively and cohesively within the immediate work group, willing to suggest and/or implement processes that add efficiencies and sound processes.
Able to compassionately counsel and advise families throughout the application process.
Able to deliver exquisite customer service by employing interpersonal skills, knowledge and understanding of the application process to communicate effectively at all levels within and outside of KS to provide transparency around the process.
Strong writing and proofreading skills to prepare or contribute to process documentations, reports, prepare PowerPoint presentations or draft correspondence to various parties in support of the application process.
Able to publicly speak to small groups of people regarding the KS application process and various requirements.
Ability to work effectively with various ethnic groups with a high degree of cultural sensitivity.
Excellent knowledge of database, word processing, spreadsheet and calendaring software applications.
Preferred Qualifications
Familiarity with KS including internal policies, procedures, Strategic Plan, vision, mission and goals.
Previous work experience in an educational setting or Admissions Office.
Physical and Mental Requirements
Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk and hear.
Frequently stands and/or walks, write by hand.
Occasionally lifts and/or carry, push and/or pull objects that weigh up to 20 pounds.
Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
Working Conditions (including Environmental Conditions)
This position may involve traveling to various locations, including neighbor islands to conduct business.
Work is conducted in an office/school environment and may require work to be conducted in non-standard workplaces.
Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives
