Job Description : Executive AssistantJob SummaryReporting directly to the CEO, the Executive Assistant serves as the primary point of contact on all matters pertaining to the office of the CEO. The Executive Assistant also serves as liaison to the senior management teams locally and worldwide streamlining the day to day operations in the North American Support Center and overseeing any special projects. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, organizational skills and the ability to create clear and concise presentations. Must be able to handle matters with a critical sense of confidentiality and discretion.Responsibilities· Complete a broad spectrum of administrative tasks for the CEO including: screening incoming phone calls and directing to appropriate department for action, managing an active calendar of appointments in various time zones, completing and submitting expense reports, composing and reviewing correspondence, arranging complex travel plans, itineraries and agendas ensuring company travel policies and guidelines are met.· Plan, coordinate and ensure schedule is followed and respected serving as gatekeeper. Prioritize inquiries and requests while troubleshooting conflicts with little guidance; make judgments and recommendations to ensure smooth day-to-day engagements.· Communicate directly, and on behalf of the CEO with Global Executive Team members, investors, stakeholders, vendors and customers on matters related to the executive office, providing a bridge for smooth communication.· Demonstrate leadership to maintain credibility, trust and support with senior management staff.· Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.· Work closely and effectively with the CEO to inform of upcoming commitments and responsibilities, following up appropriately.· Provide systematic and dependable follow up, as well as a high level of organization and preparedness. Be available for emergencies when necessary after hours and on weekends.· Arrange domestic and international travel.· Ensure all international, state and federally issued ID’s are up to date.· Maintain up to date contact database.· Assist Global Executive Team members with travel arrangements, lodging, and meal planning as needed.· Maintain discretion and confidentiality in all relationships and interactions.· Provide administrative support to SVP of People as required, including scheduling meetings, vendor relations, correspondence preparation, etc.· Support SVP of People with Internal Communications initiatives· Participate as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings. Takes notes and distribute meeting minutes, agendas and meeting packages.· Manage time and attendance scheduling and tracking for Executive Team.· Prepare key presentations· Will assist in yearly annual management seminar and vendor show planning.Qualifications· Must have 5-7 years of related hands on experience· Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail· Demonstrated proactive approaches to problem-solving with strong decision-making capability· Highly resourceful team-player, with the ability to also be extremely effective independently· Demonstrated ability to meet deadlines in a fast paced environment· Works collaboratively in a team environment with a spirit of cooperation and as a relationship builder· Degree or some college preferredJob Type: Full-timePay: $85,000.00 – $95,000.00 per yearBenefits:Health insuranceVision insuranceSchedule:8 hour shiftMonday to FridayWork Location: One location
