Development Services is comprised of the following divisions: Planning, Building and Safety and the Permit Center. Community Enhancement is comprised of the Housing, Code Enforcement and Economic Development divisions. The Planning Division is responsible for Advance (or Long Range) and Current Planning activities. Advance Planning involves updating the City’s General Plan, Local Coastal Program and Specific Plans. These documents contain goals and policies to manage long-term growth of the City and Coastal Zone. Current Planning is responsible for coordinating the review of development proposals to ensure compliance with the City’s General Plan and Zoning and Subdivision Ordinance as well as Federal and State regulations. This effort includes processing applications for entitlements (permits, subdivisions, variances, etc.), environmental review, and plan check services. The Planning Division is responsible for staffing the Planning Commission, Zoning Administrator and Design Review Board.The PositionThe Administrative Secretary is a journey level classification in the clerical and administrative support series that performs a variety of secretarial, clerical, and administrative support duties for assigned division within a department; provides information and assistance to the public, other employees, and management staff; and assists in coordinating and scheduling department activities. This position will primarily support the Planning Division with back-up support to the Permit Center and Building Division.Examples of Essential DutiesProvides administrative and secretarial support to one or more professional, management or other staff in a division within a departmentReceives, screens, and routes visitors and telephone calls; provides information which regularly requires judgment and interpretation of policies and procedures related to the assigned functional area and departmentAttends board, commission, community group, staff and other meetings; takes notes and transcribes minutes; creates and publishes notices, agendas and minutes for public meetings in accordance with state, federal and local laws and regulations; disseminates information to relevant partiesComposes, reviews, edits, and assembles correspondence, memos, reports, forms, and other documents, including those of a confidential nature, to ensure completeness, accuracy, and compliance with policies and procedures for assigned staff and projects as assignedEstablishes and maintains routine and complex databases and filing systems which may contain confidential and sensitive files and documentsReceives, date stamps, reviews, and distributes incoming correspondence and mail; responds to correspondence as appropriatePlease click here to review the full job description.Minimum QualificationsEducation: High school diploma or equivalent certificate. Supplemental business college course work or specialized training is desirable.Experience: Three (3) years of progressively responsible clerical and secretarial experience. Lead and/or supervisory experience is desirable.
