Executive Assistant to USF President – Tumwater, WA Exempt / Full-TimeThe purpose of the Executive Assistant is to support the President of the USF Division and members of theLeadership team. This role will play an integral part in organizing and coordinating meetings, field tours and other substantial events.Responsibilities include: Executive Support (65%) Provide administrative support to Division President, managing day-to-day workflow and anticipating needs.Coordinate agendas and pre-meeting reminders/deliverables for weekly tactical and strategic meetingsSupport members of the USF Leadership team with scheduling and other project-based needs.Draft and prepare documents, exhibits, presentation slides and other materials for quarterly committee and board meetings with ability to create graphs, charts, and visual aids.Schedule knowledge teams’ meetings (IDEA, Policy, Philanthropy, Wildfire response) and distribute agendas and pre-meeting tasks.Proactively manage Division President’s calendar to align with other company executives and leadership team.Prepare expense reports and credit card reconciliations.Event and Tour Coordination (30%) Schedule and arrange meetings, and offsite logistics to include rooms, venues, catering, and any special equipment.Schedule and arrange field tours, including transportation, meals, and materialsAssist with travel arrangements.Special projects as assigned.Administrative and Staff Support (5%)Partner with other Executive Assistant(s) with the execution of the Annual Unitholder Meeting (AUM).May provide additional administrative support to other executives and Seattle office staff as needed.Successful candidates will have: Bachelor’s degree and 5+ years of proven high-level experience; or equivalent combination of education and experience.Familiarity with forest products industry or family-own corporations preferred.Experience supporting high-functioning leadership teams.High proficiency in Microsoft Office Suite, with elevated emphasis on Excel and PowerPoint.HOW TO APPLY A full job description can also be made available upon request.
