Job Description : Vaccination requiredSummary: Perform all administrative duties in support of the Global Science and CBO HR SVP, and assigned leadership team members, including but not limited to calendar management, travel arrangements, preparation for and set-up of meetings, preparation and distribution of presentations and materials for meetings.Responsibilities: Ensure regular contact with assigned leadership team members to review schedule, events and assignments.Maintain business critical records/administrative responsibilities.Provide editing and typing of documents, filing, proofreading, spreadsheet, table, and chart maintenance, and running of monthly reports.Provide advanced computer skills to create spreadsheets, tables and charts, templates and presentation materials.Copy/format/distribute materials in a timely manner (electronic or hard copy).Schedule teleconferences and in-person meetings for assigned members, ensure materials and technology needed are available and operational.Maintain calendars of several parties, anticipate conflicts and uses diplomacy to resolve problems in advance. Schedule and coordinate meetings for colleagues in the HR group as needed across time zones. Ensure that information is sent to all participants and stored in the appropriate repository for access.Make travel arrangements, provide detailed itineraries, prepare and submit expense reports and perform Amex reconciliation.Purchase and track orders for office supplies and equipment using the appropriate systems, maintain records of purchases including contractors or consultants through ARIBA including purchase orders and receipts to ensure compliance with all tracking systems and assist in maintaining office supplies, equipment and cell phones.Provide administrative support for on-boarding of new employees and to follow-up on technical issues: ; Manages offboarding of colleagues.Perform any other administrative duties as requested by colleagues.Work across time zones and global sites to provide colleague support, as required.Coordinate space requirements with facilities, as required.Coordinate cross site access, as required.Participates in department projects; May lead small department projects.Creates and organizes team meeting agendas, communications and activities that drive engagement.Organizational relationships: HRLT members; Admins of Executives in WRDM, GPD and CBO, External vendors like Recruitment Firms and Executive CoachesEducation and experience: Bachelor’s Degreeadministrative business experience with providing executive level support.Strong knowledge of systems and applications, including Ariba, Travel & Expenses, Teams and Yammer.Superb organizational skills, detail orientation and ability to prioritize in the face of ever changing priorities are a must.Adaptable to meet changing business needs with a ‘can do’ attitude.Team-oriented, self-starter who comfortably executes responsibilities with limited day to day supervision.Excellent collaborative, interpersonal, communication and problem solving skills to ensure a smoothly running, supportive environment for this team of leaders.Excellent oral and written communication and organizational skills, as well as sensitivity for handling confidential informationDemonstrated attention to details abilityHard Skills: MS Office (Word, Excel, Power Point, Teams, Outlook)Web-Ex, Concur, AribaExcellent Communication Skills (Written, Verbal)Job Type: Full-timePay: $35.00 per hourSchedule:8 hour shiftEducation:Bachelor’s (Preferred)Work Location: One location
