Job Description : Overview:

The Executive Assistant provides administrative support to the Chief Operating Officer (COO) and Chief Medical Officer (CMO), provides back up for the Senior Executive Assistant to the President and CEO, and support to other administrative assistants as needed. Collects information as needed by executives for organizational documents and correspondence; manages schedules; handles details of a confidential nature; and manages the coordination of the Mental Health Operations committee. Conserves COO’s and CMO’s time and promotes the corporate image by representing these executives internally and externally with excellent customer service and professionalism.
Responsibilities:
Essential Duties:
Provides direct administrative assistance to the Chief Operating Officer and Chief Medical Officer
Schedules, coordinates and attends meetings as requested
Records minutes of all assigned committee meetings and other meetings when necessary
Initiates and/or drafts responses to written correspondence
Screens and/or routes telephone calls, incoming mail, publications and other correspondence
Makes travel arrangements, conference registrations and prepares itineraries for approved staff
Purchase order, expense report and credit card reconciliation
Provides back up support to the Senior Executive Assistant to the CEO and other Executive Administrative Assistants
Maintains Executives’ files
Prepares or assists in the preparation of reports and agendas
Provides technical word processing support
Coordinates arrangements for internal and external meetings
Supports COO and CMO in management of her/his schedule
Works collaboratively with other executive support staff as required
Interacts and provides support, as needed, to other Executive team members
Completes projects and special assignments by establishing objectives
Determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, making adjustments to plans
Improves quality results by studying, evaluating, and re-designing processes and implementing changes

Qualifications:
Qualifications:
High school graduate plus six years’ relevant experience, including two years as an Executive Assistant.
Two years of advanced education may be substituted for one year of experience; a four-year college degree may be substituted for four years’ experience.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
Excellent written and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Demonstrates Emotional maturity
Highly resourceful team-player, with the ability to also be extremely effective independently
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment

Knowledge and Abilities:
Requires broad knowledge of organizational operations and policy and a high level of experience, discretion and technical skill
Ability to accurately capture and transcribe minutes of meetings
Word processing/typing at a level of 60 WPM
Excellent organizational skills, strong communication skills both verbal and written
Good judgment, excellent customer services skills necessary to maintain good working relationship with other employees and all outside contacts
Excellent attention to detail and must work both independently and as a team player.
Computer skills should include proficiency in Office 365, including Microsoft Word, Excel, PowerPoint, and Outlook as well as experience working in Microsoft Teams environment, SharePoint, and One Drive document storage and videoconferencing platforms, including Zoom and Teams.
Salary & Benefits:
Grade 13
$49,600 to $65,300**Salary is determined based on years of total relevant experience.Salary is based on 1.0 FTE (full time equivalent) or 40 hours per week. Less than 40 hours/week will be prorated and adjusted to the appropriate FTE.
