Job Description : What Is This Position About? The Executive Administrative Assistant will be responsible for providing comprehensive and complex administrative support to the Chief Executive Officer and C-suite leaders. This role will provide sophisticated calendar management for the CEO and other leaders and prioritize inquiries and requests while troubleshooting conflicts, making decisions and recommendations to ensure smooth day-to-day operations. The Administrative Assistant will have a broad variety of administrative tasks that facilitate the leaders’ ability to effectively lead the organization, including assisting with special projects, designing, and producing complex documents, reports, and presentations. This position is limited work from home and must be in the office when the CEO is in the office; this position must have 3-5 years of experience working with C-level leaders; the Executive Administrative Assistant will sit at the front desk as their workstation.Who Posted This Position?We’re Synergis Education, a higher education services company. Synergis Education is ready to add talented, professional, energetic and fun people to our team!What Are the Benefits of This Job?Great work environment2 weeks paid vacation and 1 week of sick time11 paid holidaysFull Health/Dental/Vision Benefits401(k) and matchKey Duties & Responsibilities Must have 3-5 years of experience working with C-level leadersProvide advanced assistance to the CEO and Senior Management and corporate employees by performing various administrative support functions, including but not limited to, analytical and specialized administrative duties to ensure efficient office operationsExpertise in Office 365 and able to perform advanced word processing to include presentations, reports, and spreadsheets; transcribes information of a technical, confidential and/or sensitive nature; must have advanced skills in Office 365, Outlook and PowerPointStrong time-management skills and the ability to organize and coordinate multiple projects at onceHeavy coordination of travel arrangements including scheduling flights, hotel and rental car reservations, conference/event registrations, and ensuring all travel-related actions and expenses are in accordance with company rules and regulationsComplete expense reporting for the CEOCoordinate board of directors’ meetingsSchedule and manage calendars, meetings, and conference callsScreen email and callers, respond to and route inquiries to appropriate personnel as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the department head and/or department membersHandle highly confidential, sensitive and/or critical information, files, records, and reportsManage and coordinate projects and programs to ensure high quality end results within given time frameWork with accounts payable department to create purchase orders for various projectsReceive deliveries; sort and distribute incoming mailMeet and greet visitors escorting them to designated meeting roomsSet up and clean up meetings rooms before and after executive meetingsAssist the HR Manager with high-level projectsResearch, compile, summarize, and analyze information to formulate correspondence and respond to various inquiries from internal and external customers.
