Position : Executive Administrative Assistant
Job Description : Oversee and perform administrative functions in support of the Chief Operating Officer and departments under COO oversight. Provide essential organizational support to Residential, Day Habilitation and Medical Services.QUALIFICATIONS: Minimum of High School Diploma and 3 years of relevant work experience; Bachelor’s Degree preferred.Excellent administrative skills and experience, including computer, and filing. Proficiency in Microsoft Office, Excel and Access required.Attention to detail, establishing priorities and meeting deadlines.Ability to work in a fast-paced environment and ability to multitask.Strong professional communication and interpersonal skills. Ability to manage confidential information and materials.ESSENTIAL RESPONSIBILITIES: Creates, updates, and monitors multiple databases for tracking of various Nursing and Residential functions including trainings, regulatory/compliance tasks, and residential plan tracking.Coordinates all agency staff and securities within the agency electronic documentation systems including G-Suites access and PrecisionCare.Be familiar with Agency, Nursing and Residential Department policies and procedures.Supports various agency meetings for the COO and Director of Residential through scheduling meetings, inviting participants, producing agendas and taking minutes.Supports Human Rights Committee functions through the collection, disseminating and tracking of all HRC materials.Supports the agency Admissions Committee through coordinating and tracking agency referrals and providing correspondence with outside entities, as needed. Maintains and distributes an agency census report.Supports the coordination of required trainings across all relevant areas.Routine office support tasks including: sending and distributing faxes/scans, making copies, maintaining and ordering office supplies, sorting and distributing mail and ensuring secured filing of required documentation.Generates correspondence, administrative reports and related documentation as assigned.Facilitates other projects as assigned by the COO and Director of Residential.Attends and participates in administrative, staff and committee meetings and takes meeting minutes for distribution, as directed.Promotes the Continuous Quality Improvement (CQI) process by identifying quality indicators to measure the outcomes of departmental projects and functions and by identifying opportunities for process improvement.Supports the mission, vision and philosophy of the Agency.Supports all functions that attain and maintain accreditation and compliance with regulatory agencies.Participates in appropriate professional development programs to attain and maintain competency.Adapts work schedule to meet the needs of the program.Supports and facilitates positive interactions with others by exhibiting: individual maturity, respect for others, a team-centered approach and an appreciation of a multicultural workplace.Provide back-up to Receptionist and other administrative support positions as directed.Job Types: Full-time, Part-timePay: $19.00 – $27.00 per hourBenefits:Dental insuranceEmployee assistance programFlexible scheduleFlexible spending accountHealth insuranceLife insurancePaid time offParental leaveProfessional development assistanceReferral programRetirement planTuition reimbursementVision insuranceSchedule:Monday to FridayCOVID-19 considerations:All staff are required to be full vaccinated.
