Executive Assistant
We are looking for an experienced Executive Assistant to join our Operations team. You will be the heart of the Operations team, supporting the Head of Operations with daily responsibilities such as calendar management, while also being able to display your creativity more actively via event planning, and the creation of impactful PowerPoint presentations. In this role, you will serve as a resource for centralizing information and communication within the Operations Leadership team and will work closely with other Assistants to ensure seamless organization and execution.
Position Responsibilities:
Expense submission and reconciliation, expense approval for the team, travel planning, supply ordering, calendar management, and logistical onboarding of new team members
Tracking and maintaining Head of budgets including: T&E, gifting, and meetings
Tracking expenses and ensuring all bills are paid on time
Managing travel arrangements and creating detailed travel itineraries for all travel.
Following up throughout travel to ensure coordination and support at all points
Calendar Management: scheduling of all meetings, both internal and external,
Flexing your ability to be agile by getting ahead of last-minute changes;
Managing “Teams” channels
Drafting and sending communications as directed to include:
Emails / announcements/letters on behalf of the Head of Operations and the Operations Department.
Arranging Direct Report milestone celebrations, inclusive of arranging flower send outs, gifts, organizing in person and/or virtual recognition moments etc.
Organizing files and maintaining an effective system of document management
Writing and coordinating timely business correspondences.
Preparing detailed reports using PowerPoint and Excel
Preparing decks and presentations using PowerPoint
Organize logistics of all meetings including venue selection, event flow, procurement of supplies, communication and building of agenda and activities, printed materials, etc.
Plans key business outings and events on an ad hoc basis

Position Requirements:
Bachelor’s degree or equivalent professional experience
At least 3 years of professional experience, preferably in an Executive Assistant or Coordinator Role
Understanding of luxury brand environment, a plus
This position based in our Piscataway, NJ location
