Job Description : We are looking for an exceptional Executive Assistant (EA) to join the Consumer Channel Sales & Marketing (CCSM) organization. The ideal candidate for this role will need to be able to navigate and change directions quickly within a fast-paced environment, set priorities, stay well organized, and handle multiple tasks simultaneously. An ideal candidate will have stellar interpersonal and leadership skills, initiative, demonstrate good judgment, and the ability to maintain high level confidentiality. Being detail-oriented and having consistent and timely follow-through will be essential to success in this role.
In this position, the EA will provide support to two leaders – the General Manager (GM) of the Category team and the Director of Worldwide Operations, both are within the CCSM organization.
Responsibilities
Responsibilities include but are not limited to:
Managing multiple complex calendars with attention to accuracy, timeliness, and ensuring the schedule aligns with the leaders’ priorities and commitments.
Providing group level support for the CCSM Category Team. Supporting and providing guidance to the team regarding corporate policies, space planning, and procurement.
Coordinating logistical support for onsite and offsite meetings/events including All Hands, Morale Events, Team Training and Leadership Offsites.
Partnering with Recruiting and Human Resources to facilitate hiring, including headcount management, as well as onboarding of new employees and internal transfers.
Assisting with headcount management, org chart and team productivity tools maintenance, and security group ownership and management.
Planning and coordinating domestic and international travel plans end-to-end including the proactive anticipation of any and all logistics and itineraries.
Preparing and reconciling expense reports to ensure timely processing.
Detailed Responsibilities:
1. Standard EA position duties
Manage and prioritize calendar with strong attention to accuracy, timeliness, conflict resolution, and alignment to priorities and commitments.
Help drive the rhythm of the business (ROB). This includes creation of a predictable cadence to meetings, deliverables and expectations for the leadership team and extended organization.
Maintain e-mail distribution lists to ensure they are up-to-date and aligned with appropriate roll up aliases.
Coordination and logistical support for onsite and offsite meetings/events including All Hands, Morale Events, Team Training and Leadership Offsites.
Support all aspects of space, including current space portfolio maintenance, large scale moves, and provide transparency of future space needs and team nuances
Partner with recruiting and human resources (HR) to help facilitate hiring, including headcount management and reporting, as well as onboarding of new employees and internal transfers, Including Org Chart maintenance
Coordinate domestic and international travel end-to-end, including all logistics and itineraries.
Reconcile and process expense reports for both leaders
2. Compliance Champ
Maintain and ensure compliancy for both teams: Manage and track all required training to 100% completion prior to due date.
Interim approver of all expense reports to ensure proper coding as well as use of personal Travel IOs.
3. ROB
Assist with hosting team meetings including tech management.
Maintain a robust and transparent ROB for Category, Including LT Travel, offsite, Community Catch Ups.
Manage the full matrix of meetings to avoid overlap and overburdening teams.
4. Events
Provide logistics and admin support to team events including scheduling v-team meetings, event invitations, production coordination, and audience segmentation.
5. Business Support extras
Celebrate through multiple formats: Anniversaries, Birthdays, Other events.
Maintain a warm and inviting office setting.
Morale for the team (e.g. gatherings, treats).
Pictures and other ways to create a sense of belonging for the group.
6. Communications
Produce meeting minutes for the Category XLT meeting & OPS weekly staff meeting.
Partner with the Category Business Manager to curate ad-hoc team communications (compliance, training, key deliverables).
7. Finance
Process PO submissions for the team, everything from learning and development trainings, vendor contracts and equipment.
Track equipment and discretionary expenses.
Validate vendor data to ensure proper tracking of expenses.
8. Category Onboarding Guide
Maintain the content within the Onboarding Guide.
Manage the onboarding buddy program.
QualificationsMinimum three years of experience supporting multiple executives in a large corporate environment.
