The Department of Economic Security, Division of Employment and Rehabilitation Services (DERS) performs an integral role in improving Arizona’s workforce by assisting individuals who are unemployed or underemployed, and those with barriers, to prepare for and obtain meaningful employment. DERS supports Arizona employers with recruitment assistance by connecting them to a skilled workforce.

We are seeking an experienced and highly motivated individual to join our team as an Executive Assistant with the Finance and Business Operations Administration (FBOA). This position will support the administration and provide administrative support to Business Administrator and the Deputy Business Administrator for the Finance and Business Operations Administration.

Job Duties:
Responsible for assigning and monitoring all requests for information and actions; distributing assignments to staff editing and proofreading correspondences for proper format, and compiling and drafting reports, charts, spreadsheets, and presentations. Prepare and maintain assignment tracking and calendaring of all time-sensitive activities within Excel, Google Sheets, or another approved database.
Research and respond to administrative matters. Draft various correspondence that will be delivered to a variety of audiences including Executive Leadership. Prepare requested documentation including drafting meeting minutes, meeting agendas, and announcements.Managing calendar and scheduling internal & external meetings for the Business Administrator and other applicable members of the leadership team.
Track and support hiring or other applicable HR actions within FBOA to include, developing and maintaining staffing plans, maintaining organization charts, and managing all onboarding actions for new team members in conjunction with the hiring managers.
Conduct research on current solicitations, federal labor programs, published studies and reports, and any topics that will add value to the fiscal reports generated to ensure the FBOA is providing actionable information to decision-makers.Document strategic plans provided by Administrator, review programmatic strategies and objectives for key performance indicators provided by Administrator.

Knowledge, Skills & Abilities (KSAs):
Knowledge of principles and practices of performing administrative functions of a responsible nature.Knowledge of computer databases and ability to update and maintain information.Skill in oral and written professional communications.Skill in compiling data and incorporation of data into written reports.Ability to plan, analyze, and coordinate multiple work activities and establish appropriate priorities.Ability to work with material and Information of a confidential nature.

Travel may be required for State business. Employees may be required to use their own transportation as well as maintain valid motor vehicle insurance and current Arizona vehicle registration; however, mileage will be reimbursed.

Retirement:
State employees are required to participate in the Arizona State Retirement System (ASRS), the State-sponsored retirement contribution plan, and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
