JOB PURPOSE
Educational Alliance seeks a highly motivated and capable Executive Assistant to support the President and CEO, Chief People and Equity Officer and Chief Program Officer [JD1] with scheduling, meeting coordination, and several special projects.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Complete a broad variety of administrative tasks for the CEO and other executives including managing and adapting schedules; composing and preparing general correspondence; arranging complex and detailed agendas, travel plans, and itineraries; and compiling documents for meetings.
Plan, coordinate, and ensure CEO’s schedule is managed appropriately, act as gatekeeper to CEO’s time.
Facilitate communication and coordination with senior leadership and business partners.
Complete projects and special assignments with the Executive Team by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, adjusting plans, and other tasks as required.
Regular contact with staff, Board of Trustees, community partners, donors, elected officials, vendors, and community members.
Exercise superb judgment in prioritizing schedule and tasks.
Manage all CEO’s correspondence to ensure an accurate, precise, and expedient response.
Assure that meetings, conferences, and all activities are planned and executed successfully including, but not limited to, Board meetings and donor meetings.
Track and oversee Executive Office budget and expense reporting, including petty cash and corporate card reconciliations and invoice processing.
Responsible for maintaining the proper levels of office supplies for support services to function efficiently.
Provide support for CEO in other areas as required.
Ability to work evenings as required.
JOB REQUIREMENTS
Bachelor’s degree or equivalent experience.
5+ years’ experience supporting executive-level staff, preferably in a non-profit.
Impeccable verbal and written communication skills and attention to detail when it comes to editing correspondence, reports, and other documents.
Excellent computer skills and proficiency in Microsoft Office Suite.
Superb professionalism and ability to work under pressure while maintaining an open heart and a sense of humor.
Self-motivated, detail-oriented, extremely organized, and a pro at multitasking.
Excellent customer service skills including the ability to build relationships among internal and external stakeholders and handle matters in a professional, courteous, and friendly manner.
Possess decision-making skills that are effective, efficient, and correct.
High-level stakeholder engagement and ability to collaborate and build relationships with all levels of leadership.
Experience with scheduling, project management, managing daily activities, and delivering results in a cross-functional environment.
Proven ability to handle confidential information with discretion.
Ambitious and driven to excel with an interest in gaining knowledge about non-profit management.

COVID Vaccination Policy
