Job Description : Welcome is changing the way people buy real estate, and we want you to help build Welcome! We are a fast-growing, venture-backed startup building new homes that are purchased online, customized, and delivered in six months at an incredible value.We’re looking for an Executive Assistant to support our founding team as well as manage our new Miami office. You will be responsible for reception, answering phone calls, managing calendars, making travel arrangements, engaging with customers/consultants when they come into the office, and helping with miscellaneous personal tasks. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. This role is for someone that is very data driven and tech savvy and flourishes with very limited support. A passion for interior design and interacting with people is highly encouraged.Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.What you’ll be doing: Interview scheduling with proper preparation of role and candidate detailsPreparing company communications for internal and external audiencesFormat information for internal and external communication – memos, emails, presentations, reportsEvent planning and coordinationProfessionally reviewing content and grammar in emails and other forms of correspondenceTake minutes during meetingsScreen and direct phone calls and distribute correspondenceManage executives’ calendars and set up meetingsManage executives’ personal schedule and tasksPrepare monthly expense reportsWork with our New York Office Manager on traveling and scheduling arrangementsAct as an office manager by keeping up with office supply inventoryAct as the point of contact among executives, employees, clients and other external partnersManage information flow in a timely and accurate mannerYou’ll be expected to have: Experience working as an Executive Assistant, Personal Assistant or similar roleExperience with the Google Suite is requiredProficient in Microsoft ExcelExperience using QuickbooksOutstanding organizational and time management skillsExcellent verbal and written communications skillsDiscretion and confidentialityAbility to work through and troubleshoot issues that arise with a solution-oriented mentalityExtreme attention to detail and ability to multitask with time sensitivityA collaborative approach to problem-solvingThe ability to work in a fast-paced environmentBilingual (English and Spanish) is a bonusEvery employee receives: Competitive salaryStock optionsUnlimited vacation policyFull health benefitsNew Macbook laptop and office supplies for a WFH setup*$50/month towards online fitness apps or gym memberships$1,000/year towards continuing education*Optional: We offer every employee to own all equipment purchases through our 50/50 program.
