We are also looking for high levels of organization, multitasking and communication.Job Summary: The Office Manager is predominantly responsible for overseeing the business needs of the practice to ensure the practice is running smoothly and efficiently while also working to expand the practice. Job responsibilities include but are not limited to managing the team, establishing a positive, healthy office culture, ensuring individual team members as well as departments are highly efficient and productive, and managing company initiatives and projects to continuously improve our brand, grow our practice, and ensure we meet revenue and profit targets. Detailed responsibilities include:· Provide oversight of all practice initiatives, projects, and daily operations including running team meetings and assigning responsibilities.· Oversee the marketing, sales, and administrative aspects of our cosmetic surgery and med spa department. This includes monitoring the entire patient experience from initial contact through appointment setting, in-person consult, surgery case acceptance, surgery patient process, and post-surgery patient experience.· Oversee the surgery department and med spa department including staffing, safety, procedures and protocols, cleanliness, and timeliness.· Handle recruiting, interviewing, hiring, and onboarding of new team members.· Handle Accounts Receivable and Accounts Payable, including paying bills, depositing checks, coordinating recordkeeping with bookkeeper, and monitoring bank accounts.· Monitor revenue, profit, and key performance metrics to ensure the practice is reaching pre-defined goals.· Develop and implement practice and staff policies to ensure day-to-day business is handled according to office and medical guidelines.Daily Duties: · Review Patient Schedule – confirm accuracy, resolve conflicts, ensure efficiency.· Review Marketing Leads – confirm accuracy, track key performance indicators (volume and conversion rate)· Monitor Patient Reviews – Check online review sites including Google My Business, Yelp, and Facebook. Reply to both positive and negative feedback.· Review Patient Survey results and provide feedback to team.· Review Emails· Deposit Checks· Running reportsWeekly Duties: · Review patient and insurance account collections with outside billing company· Hold One-on-One Meetings with each team member.· Review Key Performance Indicators and adjust with team.
