Position : Program Support Specialist (Office Coordinator)
Job Description : Our Program Support Specialist directly contributes to our mission of making autism services personal by scheduling sessions, managing cancelations, and working closely with the Clinical Director to ensure smooth operations of the clinic.SPECIFIC RESPONSIBILITIES: Maintaining the insurance clinic schedules by: o Updating Open Hours report for Recruiting for insurance services. o Coordinating make-ups for cancellations and substitute team members o Identifying and reporting patterns in cancelations o Coordinating clinic clients to prevent over-schedulingManaging intake for potential new insurance clients, medical records, data entry and processing (with insurance support from Sr Client Services Coordinator).Assisting the Clinical Director with maintaining all filing and organizational systems for the clinic in the Practice Management SystemRunning weekly and monthly reports and audits as required (ex: conversion audits & signatures).Ensuring client/family satisfaction, including escalating complaints to the Clinical Director.Reporting and troubleshooting relevant local issues including site maintenance, with assistance from the Support Center.Assisting the Clinical Director with coordinating local employee engagement, with support from the Support Center Team, including: o staff meetings o team building events / celebrations o community engagement/outreach o welcome/first day activities for new team membersAct as a substitute RBT as needed in the clinic.Skills and Competencies: 1+ years of medical administrative experience. Experience within ABA or a specialty field a plus.Associate Degree or higher in Healthcare Administration or Business is plus, but not required.Strong communication and presentation skills.Previous medical billing and EMR experience required.Confident communication skills for fielding calls on behalf of the agency and its representatives.Excellent written communication skills for professional emails and various reporting methods.About Helping Hands Family: Helping Hands Family (“HHF”) is an organization that provides Applied Behavior Analysis (ABA) services for individuals with Autism Spectrum Disorder (ASD).
