JOB SUMMARY AND DESCRIPTION OF TASKS
Available Immediately
Position: Secretary to Internal Departments; Initial assignment to include Technology Dept. and Nurse Dept.
Reports to: Department Director or Designee
Salary Range: As Per the Non-Represented Classified Salary Schedule
Classification: Non-Union Represented Classified position; Non-Exempt position under FLSA rules.
Summary Description: Serve as secretary to district level internal departments. Initial assignment to include Technology Department and the Nurse staff. This position requires a highly organized, self motivated, lifelong learning individual. We require someone proficient in clerical skills and computer literacy, ability to prioritize, meet deadlines and demonstrated ability to contribute to a team work environment. This role is varied and demanding, involving multiple tasks ongoing with extensive teamwork. Assist with student and staff health tracking, reporting, medication inventories, and student medical files. The primary function is to ensure the efficient operation of the departments assigned.
QUALIFICATIONS:
Must be able to demonstrate excellent secretarial skills and successful experience in office procedures and ability to file and keep records in an organized and efficient manner required.
Must possess a high school diploma.Secretarial experience with extensive contact with people.Bilingual Spanish helpful.
Must be knowledgeable in use of current office machines, including computers, printers, multi-functional data centers, telephone, postage machine, etc.Proven knowledge and experience in computer and application skills required. Ability to learn specific programs and applications.Proficient in computer literacy; accurately enter data and formulate and run necessary and requested reports.
Must demonstrate a pleasant, congenial, accommodating manner at all times. Work collaboratively with colleagues, agencies and community members in order to contribute to the effectiveness of school programs.Ability to work as a team member, in a flexible, cooperative and helpful manner with a focus on resolving problems and meeting needs.Ability to adapt, and be flexible, to changing work priorities and constant and sustained interruptions
Must be able to maintain confidentiality.
Knowledge of applicable federal, state, local and DOH regulations related to disclosure of personal health information and HIPPA privacy helpful.
Must be able to work with a minimum of supervision.School work experience helpful and/or an understanding of school environment and processes.Ability to solve practical problems, apply appropriate judgment and deal with a variety of situations where only limited standardization exists.Expected to attend work as scheduled, follow appropriate State and Federal laws and District policy, and model appropriate professional behavior.

Major Functions and Responsibilities- Included samples but not limited to:
Perform general secretarial duties as assigned for the District operations departments.Coordinate and schedule meetings, trainings, and travel as necessary.Order materials and supplies, etc.; reconcile requisitions and bank cardsSupervise the use of all machines and equipment within the District OfficeAssist in the purchasing of materials and supplies.Prepare requisitions, track orders.Maintain department inventories.Assist departments in project and program management and compliance, may include participation in department and district level committees.Provide translation service as requested by departments.Perform other such duties as required.Accurately enter data and documents into varies web-based systems such as Treeno an SkywardAssist in maintaining up to date and accurate information/communications via Thrillshare/Parentsquare/ district website on medical related items and technology department communicationsMonitoring stock medications for expiration datesSupervise health room when nurse is away from work or at a different siteFacilitating CPR classes for staffInitiating and receiving phone calls and communications from parents to ensure the district has necessary student paperwork and medical record and other purposes.Receive beginning of school year paperworkAssist with preparing end of year packets to go to clinics
Terms of
Employment: 260 work days per year, year around
8 hours day
11 paid holidays
Vacation granted consistent with approved schedule.
