Our values of grit, integrity and compassion are guideposts for all that we do in the service of our mission.Each staff member operates from these to ensure the success of the agency.Position Title: Administrative and Communications AssistantProgram (s) FLSA Status Hours Date of Last Revision All Programs Salaried, Exempt Minimum of 40 hours per week; January 17, 2022Monday – Friday 8:00 – 5:00Occasional evening & weekendsCombination of remote and in-office workPeer Assistance Services seeks an energetic professional to assist our CEO, COO, Director of Operations and RiskManagement, and Communications and Program Outreach Manager in all aspects of agency and program management.Key skills and attributes of this individual include exceptional verbal and written communication, detailed work, document management, flexibility, team commitment, and expertise and proficiency with Microsoft Office Suite and website management.Position Summary: Assist the CEO, COO, Director of Operations and Risk Management, and Communications and Program OutreachManager with organization of schedules, meeting planning and follow-up, administrative support for Board of Director meetings, travel, filing, research, and correspondence. Manage conference rooms and meeting schedules. Support event planning and website operation, assist with collateral material development, and manage monthly report content to include various program metrics.Principle Responsibilities & Essential DutiesAssist the CEO, COO, Director of Operations and Risk Management, and Communications and Program OutreachManager with: o Schedule management o Meeting planning and follow up o Conference registration and travel arrangements o Organization and filing of electronic and hard-copy records o Research as requested, e.g., journals, legislation, and current events o Composition, formatting, and proofreading of correspondence and other documents o Administrative support for Board of Director MeetingsSupport content development, design, and distribution of collateral materials including rack cards, newsletters, program flyers, and the agency Annual Review.In collaboration with the Staff Bookkeeper, respond to office equipment needs including supply orders and contacting vendors for equipment repair.Assist with presentation and exhibit preparation, including PowerPoint development.Participate in meetings and special events/conferences as needed. Document meetings in clear and concise minutes.Manage follow-up activities from meetings.Maintain and track professional memberships and assist with annual renewals.Assist with outreach activities as directed by the Manager of Communications and Program Outreach.Attend and take minutes for regularly scheduled external meetings, e.g., statewide and regional council meetings, and stakeholder meetings.Assist with monthly internal and external reporting on various program metrics.Retrieve daily office mail in collaboration with the Staff Bookkeeper.Organize and assign regular office cleaning duties in collaboration with the Staff Bookkeeper.Manage conference rooms and training center schedules including room set up and catering.Regular communication with the Grand Junction Office Staff.Assist with website maintenance.Other duties as may be assigned.Education, Experience, and Other Requirements: Bachelor degree in non-profit management, public administration or related field (experience may substitute for education).3-5 years of experience providing executive administrative support.All offers of employment are contingent upon proof of full vaccination status for COVID-19. Develops plans and manages resources to meet goals. Aligns plans with agency mission and values. Coordinates and cooperates withPAS staff, clients, contractors, community partners, stakeholders. Tracks, measures and reports outcomes.Reports to: Director of Operations and Risk ManagementDirect Reports: NoneSalary: $55,000Working Conditions: Favorable office environment. Periodic evening and weekend hours required. Work may be stressful at times. Combination of remote and in-office work.Physical/Mental Demands: Work requires hand dexterity for office machine operation; stooping, climbing, and bending to files and supplies; mobility to complete errands; stand/sit for up to eight hours each day; ability to communicate clearly when using the telephone; requires sitting; standing, walking, reaching, bending, lifting, and twisting at times; moderate levels of stress.
