Job Description : Job TitleAdministrative Support SpecialistManager: Regional Director (RD)Job DescriptionRole and ResponsibilitiesSupport RD/ED in the day-to-day management of scheduling meetings and office calendars.Maintain office supply inventory (including water, snacks, and coffee) and manage supply orders on a regular basis at all branches.Assist with other branch administrative functions as needed (i.e., maintenance of files, vendor management, etc.)Assist with branch HR functions as needed.Oversee scheduling team in finalization of client billing and caregiver payrollAct as point of contact for clients in billing issues and concerns. Coordinate with the corporate team to handle billing and long-term care insurance discrepancies.Meeting management, including scheduling, preparing agendas, printing material as needed, taking notes, distributing action items, and arranging catering as needed (including full meeting facilitation for certain key meetings).Oversee branch’s training program. Maintain a class schedule with the scheduling team, prepare class material, and act as the point of contact for teachers and state grant management.Draft and/or distribute communication with Branch staff as needed (e.g., maintain PTO/office calendar, major events, deadlines, general updates).Serve as point person for troubleshooting office maintenance issues with building management at all Division locations as well as for coordinating resolution on technical issues experienced by Branch staff (e.g., calling for repairs, IT support, equipment maintenance) in collaboration with Client Services Manager.Coordinate team building events, special events, and recognitions for Divisional staff (e.g., birthday cards and sympathy cards to clients and employees, employee appreciation, holiday parties & decorations, Caregivers Week, Nurses Week).Assist call center with call handling on days or periods of time when call volume is high.Perform other related duties or cross-cover as needed or as assigned by the immediate supervisor/management level personnel.Manage company car maintenance and mileageOversight to ensure care provider evaluations are completedManage company point system for care providersAdditional SkillsFluent in basic Microsoft Office functions (Word, Excel, PowerPoint).Able to organize and maintain electronic employee records.Excellent written and oral communication skills.Able to manage time well and work efficiently.Strong attention to detail and organizational skills.Works independently.Flexible, humble, and team-oriented.Compassionate and empathetic.Qualifications and Education RequirementsMinimum 2 years of experience in office coordination or managementHR experience is a plus.Strong candidates have experience working in the home care industry (or related industry – hospice, home health, hospital, etc.)Other RequirementsYou must be able to lift up to 50 pounds at times with or without assistance.Ability to drive when required.Prolonged periods of sitting at a desk and working on a computer.Job Type: Full-timePay: Up to $50,000.00 per yearBenefits:401(k)Dental insuranceHealth insurancePaid time offVision insuranceSchedule:8 hour shiftMonday to FridayApplication Question(s):How many years of Office Coordination experience do you have?Experience:Management: 2 years (Required)Work Location: One location
