Position : Administrative Assistant

Job Description : Position Overview: Provides administrative support to the CEO/President, VP of Operations, Director of Administration, and other FICA Team Members as needed.Responsibilities: Position requires the ability to learn and understand the Governing Documents of the Association; Master Covenants, By-Laws and Articles of Incorporation (Association Documents).Assist in reviewing matters of the Association including, but not limited to Association Rules and Regulations violations, Architectural Control, and Association adherence to state statutes.Maintain historical electronic files of administrative matters pertaining to the above.Provide strategic input to the Executive Staff regarding operational and administrative efficiencies.Assist in maintaining the fisherislandfica.com website and provide input for the monthly newsletter.Schedules appointments, maintains calendar and coordinates conferences and meetings.Arranges travel schedules and reservations.Update and maintain electronic file of all Master and individual Condo Association documents.Assist individual departments with electronic file organization and hard drive cleanup.Interacts with all levels of staff, directors, managers, employees.Provide administrative support for the Rules and Regulations and Architectural Control CommitteesOrganize and maintain an executive calendar for FICA.Any additional tasks assigned by the CEO/President, VP of Operations, and Director of Administration as needed.Education/ Skills/ Work Experience RequiredA minimum of four to seven years of work-related skill, knowledge or experience is needed; preferably in the hospitality industryBachelor Degree or Associate Degree preferredAbility to type correspondence and possess solid organizational skillsAdvanced knowledge of M.S. Word, Excel, and OutlookExcellent customer service skills requiredRelies on experience and judgment to plan and accomplish goalsAbility to make on the spot and independent decisionsRequires the willingness to lead, take charge, and offer opinions and directionsEffective communication and interpersonal skills requiredKnowledge of the English language including the meaning and spelling rules of composition and grammarBilingual preferredJob Type: Full-timePay: $65,000.00 – $70,000.00 per yearBenefits:401(k)Dental insuranceHealth insurancePaid time offVision insuranceSchedule:8 hour shiftMonday to FridaySupplemental Pay:Signing bonusEducation:High school or equivalent (Preferred)Experience:Customer service: 1 year (Preferred)Work Location: One location
