Job Description : Rudin Management Company seeks an Administrative Assistant for its Commercial Leasing Department. This role is part of a two-person administrative team supporting the head of the Commercial Leasing Department, as well as several senior members of the team. We are looking for a candidate that can hit the ground running. This person will interface with all other departments, as well as with clients.The Administrative Assistant will perform the duties as stated below:RESPONSIBILITIES: Handle confidential and sensitive information with discretion;Perform general administrative responsibilities such as answering phones, maintaining calendars and contacts, scheduling conference calls;Upload documents and files into the company’s document management system and review for accuracy;Coordinate and schedule meetings, including reserving conference rooms, greeting guests, coordinating catering, and compiling meeting materials and agendas;Track and report expenses;Assist the team with producing documents and presentations;Conduct web-based and other research (applications used are Yardi, View the Space, and CoStar);Prepare written general correspondence;Independently follow up on outstanding items;Assist in ad hoc and special projects.REQUIREMENTS: Bachelor’s Degree;Minimum of 2-3 years related administrative experience;Exceptional knowledge and experience working with Microsoft Office (Outlook, Word, Excel & PowerPoint);Punctual and reliable, with excellent verbal and written communication skills;Must use sound judgment, show discretion, and maintain confidentiality;Detail oriented and extremely organized with an ability to multi-task;Ability to work independently and show initiative;Must be a team player with excellent interpersonal skills.Rudin is one of the largest privately owned real estate companies in New York City.
