Job Description : Position Overview
The Administrative Assistant performs highly responsible, confidential, and complex administrative duties and coordinates projects for the Deputy Chief. The primary duties will include providing outstanding customer service, organizing the Deputy Chief’s calendar, meetings, files, and documents, and prioritizing projects to meet deadlines.

Note: The pay range listed above ($17.50 – $21.95) reflects the expected ENTRY pay range for this position based on experience and equity within the Judicial Branch. The FULL pay range of this position is $17.50 to $26.40 hourly. This position is non-exempt under the FLSA.

The Juvenile Probation Department of the Judicial Branch of Arizona in Maricopa County is dedicated to providing innovative and efficient juvenile justice services grounded in evidenced-based practices and research. Position Qualifications

Education:
High School Diploma or GED
Experience:
Three (3) years of responsible clerical and administrative experience
OR
Combined education and experience qualifications:
Post-secondary education may substitute for experience on a year-for-year basis
Knowledge, skills, and abilities:
Knowledge of:
Administrative and clerical procedures and systems such as managing files and records, designing forms, and other office procedures.
Data processing applications
Skill in:
Microsoft Office products; Outlook, Word, Excel, Teams, and PowerPoint
Operation of office equipment including, but not limited to; fax machine, printer/copier, scanner, and computer terminal
Communicating verbally and in writing with others to convey information professionally and effectively
Establishing and maintaining constructive and cooperative working relationships with individuals from the public, all levels of the organization, and with stakeholders
Time Management
Identifying problems, reviewing related information, and recommending solutions
Excellent proofreading skills

Essential Job Tasks

Develops, organizes, and coordinates complex administrative services and projects.
Provides organization in managing the Deputy Chief’s duties while prioritizing and following through on projects
Manages and organizes important documents for the department
Regularly handles highly responsible, complex administrative duties, and confidential and/or sensitive materials and information.
Manages, organizes, and prioritizes a large volume of electronic communication received in the Juvenile Probation Department.
Responds to telephone calls and other inquiries that require a broad knowledge of operating policies and procedures and/or functions of a large complex organization.
Coordinates the logistics for training and department/division meetings, including preparation and distribution of agendas, minutes, and other necessary information.
Evaluates, processes, and makes recommendations for improvements.
Prepares and prioritizes management calendars and correspondence.
Maintains management files and related documents
Directs and assists department staff regarding procedures, formats, and policies.
Provides oversight and direction for communications-related activities for the department, including newsletters, reports, department-wide emails, and other communications.
Serves as the contact for all inquiries and the facilities coordinator for the Community Supervision Bureau.
Acts as the receptionist for the Deputy Chief and ensures outstanding customer service is consistently provided.
Monitors staff movements for needed actions such as updating phone lists, email distribution lists, and requesting office equipment and service activation.
Prepares and updates organization charts, contacts, and distribution lists; maintains filing and tickler systems in electronic and paper format.
Researches and makes recommendations for special order requests, and maintains office equipment.
Inventories and orders supplies for general office use, projects, and events.
Working conditions:
Requires occasional use of personal or county vehicle to travel to and from both probation office locations and events.
While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.

Holidays and Leave
Maricopa County observes ten paid holidays per year. Most County employees accrue vacation (starting at three weeks per year for full-time employees) and sick leave (starting at one hour for every 30 hours worked for all employees). Employees also receive paid leave for other needs such as jury duty, civic duty, and bereavement.

Medical, Prescription, Behavioral Health, Dental, Vision, and Flexible Spending Accounts
We understand how important health care is to maintaining a good quality of life. We also know our employees want to have the freedom to choose benefit plans to best meet their needs. Eligible employees may choose from four medical plan options, an HMO, PPO, and two HDHP (High Deductible Health Plans) with a health savings account. Life and Disability Insurance

Because life sometimes takes unexpected turns, the County offers life insurance coverage to help employees and their loved ones in the event of death. Basic life and basic accidental death & dismemberment insurance equivalent to one times an employee’s annual base salary is provided at no cost, with the option for employees to purchase additional coverage including spouse and child life insurance. Disability insurance is available to replace a portion of an employee’s salary should they experience a short-term illness or injury.

Retirement

Eligible employees are covered by one of several State-sponsored retirement pension plans, including the Arizona State Retirement System (ASRS) and the Public Safety Personnel Retirement System (PSPRS). Additionally, there’s the option to contribute to a 457(b) Savings Plan that provides employees with a variety of investment opportunities. For those employees who retire from the County and from their retirement system, and have accrued 1,000 or more hours of sick leave, the County makes a $10,000 contribution to a Post-Employment Health Plan set up on their behalf to be used for payment of eligible out-of-pocket healthcare expenses.
