(dba Arc of Appalachia Preserve System, “the Arc”) is a non-profit organization that preserves land in Ohio and provides opportunities for the public to engage with the natural world. We seek a dynamic leader with proven organizational skills to serve as our Assistant Office Manager. In this position, you will have the important role of being the first point of contact for new and returning visitors to our lodges, public preserves, and hiking trails. We are seeking someone that is friendly, professional, and knowledgeable, and who will interact with visitors in a positive and respectful way that ensures they have the best experience possible. You will also help assist the Office Manager with day-to-day activities that keep our fast-growing and ever-evolving organization performing efficiently. This position would be well-suited for someone who has an appreciation for nature, enjoys multi-tasking, has a diverse skillset, and strives to leave any situation better than how they found it.Work EnvironmentYour office will be in the Appalachian Forest Museum, which is in the 2800+ acre Highlands Nature Sanctuary. You will share responsibilities with other staff members in opening and staffing the museum each day, but typically you will be working alongside the Office Manager. The Highlands Nature Sanctuary is the Arc of Appalachia’s oldest and largest nature preserve. At its center is the beautiful Rocky Fork Gorge. This area is renowned for its wildflower displays, interesting rock formations, and network of caves that serve as a sanctuary for bats. Subsidized rental housing options within the sanctuary are available for the Assistant Office Manager and members of their immediate family.Duties and Responsibilities: Visitor Services and Public InformationCoordinating with other staff members to ensure that the Appalachian Forest Museum is opened and staffed every day, March 15 through November 15, and securely closed at the end of the day;Orienting guests to the Highlands Nature Sanctuary’s trails and the Appalachian Forest Museum;Oversee the Volunteer Museum Host program;Updating and creating lodging guest books and announcements.Providing information and answering questions about the Arc of Appalachia Preserve System as an organization in its entirety;Answering phone and emails, during and after office hours, as appropriate;Answering questions about lodging, and taking overnight facility registrations;Communicating lodging guest questions, concerns, comments, and suggestions to housekeeping staff and Facility Manager;Explaining and enforcing rules and regulations to ensure visitor safety;Distributing membership packets and collecting donations;Ensuring an overall quality experience for visitors at all of the Arc’s public preserves by reporting concerns or suggestions to other staff members who oversee their management;Answering questions and providing in-depth knowledge about all of the Arc’s public preserves and hiking trails;Keeping daily attendance and input data at the end of the day;Keeping the work area and Appalachian Forest Museum clean and organized.Office AdministrationAssisting in preparing weekly deposit for Arc of Appalachia/Highlands Nature Sanctuary;Overseeing the entry and updating of the donor management software;Preparing and sending Thank You letters to Donors;Assisting with event registration;Keeping membership packets and letters up to date and stocked;Assisting with housekeeper schedulingEducation Courses, Workshops, and Special EventsAssisting with implementation and coordination of calendar of events;Organizing, as assigned, the registration, promotion, food services, lodging, program content, speaker and volunteer recruitment and training, thank you letters, payments, and all other details involved in sponsoring and organizing programs.Website and Social Media AdministrationAssisting with webpage design and content management;Maintaining and monitoring Arc social media outlets, including Facebook and Twitter;Working with other staff members to provide appropriate and engaging content on social media and on the website;Qualifications: An appreciation for the natural worldDetail-oriented and proficient in complicated office workProficiency with computersExperience with Microsoft Office applications, especially ExcelExperience with Adobe Suite design softwareFamiliarity with social media programsStrong communication skills, both written and verbalFriendly, flexible, and comfortable working independently as well as on a teamAble to solve problems calmly and efficientlyMust work weekends during our open seasonValid driver’s license and reliable transportationJob Type: Full-timePay: $18.00 – $20.00 per hourSchedule:8 hour shiftWeekend availabilityAbility to commute/relocate:Bainbridge, OH 45612: Reliably commute or planning to relocate before starting work (Preferred)Education:High school or equivalent (Preferred)Experience:Microsoft Office: 2 years (Preferred)Administrative experience: 1 year (Preferred)Work Location: One location
