UW Medical Center – Northwest has an outstanding opportunity for a DAY SHIFT, FULL TIME, CLINIC PATIENT CARE COORDINATOR .
Located adjacent to UW Medical Center – Northwest, the Spine Center at Meridian Pavilion uses the latest technology and a multidisciplinary approach to treat simple and complex surgical spine problems. We match each patient with the right surgeon and the right treatment plan. Our surgeons provide care for common spinal conditions such as sciatica, slipped discs, spinal stenosis, scoliosis, neck, and back pain. Treatments may include diagnostic and minimally invasive procedures, as well as the technologically advanced surgical interventions.
RESPONSIBILITIES:
Patient Access:
Acts as primary liaison for UWMC/UW Medicine and represent departmental physician (s) with the hospital, patient and family, referring physicians, outside agencies, staff from outside hospitals and general public by providing information and advice regarding UWMC hospital services.
Works independently under the general direction of a physician or their designee.
Uses ability to triage medical information in a specific medical or surgical specialty.
Uses effective oral and written communication with a variety of Health Care Professionals, patients and their advocates, hospital and clinic personnel both at UWMC and other medical facilities, representatives of insurance companies and other organizations related to the health care industry.
Demonstrates the ability to be organized and effectively prioritizes work tasks for the needs of the procedural area.
Requests interpreters as appropriate for appointments, admissions, and surgery.
Uses a variety of computer systems such as REG/ADT, EPIC, ESI, Mindscape, OneHealthPort and Microsoft Products.
Serves as a patient advocate
Provides support services for both patients and physicians
Patient Intake/Insurance:
Answer the telephone in a professional and courteous manner and directs calls appropriately.
Responsible for reviewing registration data such as demographic, insurance, referral, next of kin etc., and updating online or providing information to appropriate personnel so that an update may be done.
May provide clinic charges for visit types, procedures, and surgeries to patients or prospective patients to the clinic. May provide estimated charges based on plan of care for purpose of patient deposits when patient is determined to be self-pay. This is done in conjunction with Financial Services and under the direction of the Health Services Manager, clinic Manager/Department Administrator.
Coordination:
Acts as a liaison between patients, consulting physician, referring physician or outside agency to coordinate patient appointments, admission, or surgery. Will coordinate the exchange of information either written or verbal before and after patients are seen.
Obtains all necessary medical records, diagnostic studies, pathology items, etc. that are needed for patient care.
Coordinates the patient’s entry into the system to include the availability of necessary medical records, coordination of tests, procedures and appointments with all hospital departments.
Clinic Scheduling:
Schedule patient appointments by following the appropriate guidelines by clinic, department and physician. Enter directly into appointment system or triage to appropriate person.
Surgery Scheduling:
Acts as liaison between patient, physicians, OR, nurses, other clinics, admitting, Financial Counseling, lab, Radiology, OT, PT, Prosthetics, etc. for the purpose of coordinating all pre-op planning and preparation.
Schedules and communicates pre-op planning and preparation to patient. Responsible for sending appointment and other relevant information to patients.
Responsible for requesting necessary surgical equipment, tools, supplies, devices, and implants (will supply necessary info for custom implants).
Manages OR block time. Releases block time and requests elective OR time through the Surgical Services Website.
Responsible for scheduling, rescheduling, and canceling surgeries. Will monitor case order as surgeries are booked and make any necessary changes.
Contacts review organizations and insurance companies to ensure prior approval requirements are met before patients enter the system such as pre-authorization and referrals; present necessary medical information such as history, diagnosis, prognosis, and length of stay prior to admissions; provide specific medical information to financial services to maximize reimbursement to the hospital and physicians.
Maintains knowledge of billing and medical record documentation requirements, diagnostic tests and procedures and specialized pre-procedure instructions with guidelines set by the department or clinic Chairperson or Medical Director.
Collect medical records and current medication lists for medical review with Pre-Anesthesia Clinic (PAC).
Create post-op appointments for all surgery patients.
Assist in any peer to peer or appeals needed for surgery PA denials.
Assist patients in submitting and creating cost estimate requests for surgery.
Scan PHI and other surgery related forms into EPIC.
REQUIREMENTS
Two years of experience in a tertiary patient care setting involving interaction with a variety of medical services, contact with patients and families and interaction with physicians
Typing: 40 wpm
Knowledge of Microsoft Word and Excel required
Proficiency in medical terminology
Time management, multi-tasking, and effective prioritization/organization skills
Excellent oral/written communication skills.
Demonstrated ability to effectively interact with staff, physicians, patients, and visitors using a professional and courteous manner with excellent public relations, customer service, and diplomacy skills
Must be able to move freely about the department and hospital
Must be able to sit for long periods of time
Ability to perform complex assignments independently
Ability to be creative, innovative, and flexible
