Job Description : Position Overview
ABOUT THE POSITION:
Judge Michael Valenzuela seeks a Judicial Assistant who is a highly-skilled problem solver who can juggle competing priorities, demonstrate exceptional organization skills, and navigate sensitive issues with diplomacy all in support of the day-to-day activities of the Family Court department. The ideal candidate has excellent communication skills, attention to detail, a positive attitude, and a willingness to contribute to the overall success of the Judicial Branch.

Note: The pay range listed above ($39,520.00 – $50,086.40) reflects the expected ENTRY pay range for this position based on experience and equity within the Judicial Branch. The FULL pay range of this position is $39,520.00 to $60,632.00 annually. This position is non-exempt under the FLSA.

Position Qualifications

Education:
High School diploma or GED

Experience:
Three (3) years of administrative experience
OR

Combined education and experience qualifications:
Experience as a Bailiff/Courtroom Assistant or Judicial Clerk Senior within the Maricopa County Superior Court may substitute for the experience requirement.
OR
Completion of an accredited legal secretary or paralegal training program or certification, may substitute for two (2) years of experience.
OR
Completion of post-secondary, college-level courses may substitute for up to one (1) year of the experience requirement (thirty (30) credit hours = one year).

Our Preferred Candidate has:
Experience working in a court system, law office, or other legal setting.
Experience with court procedures, legal terminology, and the legal requirements for processing court documents.
Experience interacting with judges, commissioners, or attorneys.
Experience with Teams and GoTo Meetings virtual platforms
Knowledge, Skills, and Abilities:
Knowledge of:
Court policies and procedures, legal terminology, office procedures and practices, and the legal requirements for processing court documents.
Principles and processes for customer service standards and procedures.
Skill in:
Verbally communicating with others to convey information effectively.
Communicating effectively in writing as appropriate for the needs of the audience.
The use of computer applications and software such as MS Outlook, Word, Excel, iCIS, OnBase, and eFile., OneDrive, SharePoint
Standard office equipment such as: multi-line telephone system, fax machine, and copier.

Ability to:
Understand and follow quickly and accurately brief oral and written instructions.
Make sound decisions in accordance with regulations, policies and procedures.
Maintain a court calendar and work effectively with judges, commissioners, attorneys, court personnel, and the public.
Essential Job Tasks
(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)
Provides all administrative support of a Judge or Commissioner divisions as a Judicial Assistant and/or Courtroom Assistant.
Prepares, maintains and revises daily court calendars, including: setting hearings/trial dates, and processing motions.
Arranges for interpreters, court reporters, and special assignments as necessary.
Reviews case files for completeness; contacts interested parties for missing information.
Prepares information for Judge’s or Commissioner’s review prior to hearings.
Prepares courtroom, gathers all parties for hearings, directs when cases will proceed to courtroom, and manages calendar flow.
Assists in case flow management with daily input of hearing outcomes into the court database.
Handles a variety of requests, inquiries, and complaints from litigants, the public, lawyers, judges and other court personnel.
Transcribes a variety of letters, memoranda and jury instructions when requested.
Provides administrative support for Court Administration, including providing coverage, customer assistance, answering phone calls, and reviewing Cal-Acti reports.

Working conditions:
While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull, or lift up to 20 pounds.

The Judicial Branch is posting this position on behalf of a Superior Court Judge. In selecting a candidate for hire, the Superior Court Judge is not subject to the contact requirements within Judicial Branch staffing policies.

Typically, successful candidates are hired at a salary rate up to midpoint of the range, based on applicable experience, internal equity and budgetary allowances.

Holidays and Leave
Maricopa County observes ten paid holidays per year. Most County employees accrue vacation (starting at three weeks per year for full-time employees) and sick leave (starting at one hour for every 30 hours worked for all employees). Employees also receive paid leave for other needs such as jury duty, civic duty, and bereavement.

Medical, Prescription, Behavioral Health, Dental, Vision, and Flexible Spending Accounts
We understand how important health care is to maintaining a good quality of life. We also know our employees want to have the freedom to choose benefit plans to best meet their needs. Eligible employees may choose from four medical plan options, an HMO, PPO, and two HDHP (High Deductible Health Plans) with a health savings account. When employees enroll in medical coverage, they are automatically enrolled in prescription and behavioral health coverage as well. As is the case with medical, the plans range in cost, flexibility, and network of providers. Life and Disability Insurance
Because life sometimes takes unexpected turns, the County offers life insurance coverage to help employees and their loved ones in the event of death. Basic life and basic accidental death & dismemberment insurance equivalent to one times an employee’s annual base salary is provided at no cost, with the option for employees to purchase additional coverage including spouse and child life insurance. Disability insurance is available to replace a portion of an employee’s salary should they experience a short-term illness or injury.

Retirement
Eligible employees are covered by one of several State-sponsored retirement pension plans, including the Arizona State Retirement System (ASRS) and the Public Safety Personnel Retirement System (PSPRS). Additionally, there’s the option to contribute to a 457(b) Savings Plan that provides employees with a variety of investment opportunities. For those employees who retire from the County and from their retirement system, and have accrued 1,000 or more hours of sick leave, the County makes a $10,000 contribution to a Post-Employment Health Plan set up on their behalf to be used for payment of eligible out-of-pocket healthcare expenses.
