Job Description : General SummaryThis position is responsible for assisting and supporting the Sales Manager and/or Plants Manager in performing multiple administrative and accounting functions to ensure efficient, cost effective and professional office operations.Essential Job Accountabilities1. Responsible for assisting and performing day-to-day administrative and accounting functions of the Construction Materials team / business unit to ensure accurate, efficient and timely processes.2. Perform various daily, weekly and monthly administrative functions and process all or some of the following: daily cash receipts, cash sales authorizations, material edit reports, miscellaneous ticket creation, accounts payable, accounts receivable, reports for external customers, cost tracking, contract compliance, material billings, fuel reconciliation, weighmaster timecards, and document control to ensure accuracy and timely completion in accordance with established procedures and compliance with Company policy, General Accepted Accounting Principles and Sarbanes-Oxley requirements.3. Provide accurate and timely communication to the Sales Manager, Plant Manager, and/or Business Manger on relevant issues to ensure key information is disseminated.4. Assist field operations with informational inquiries to ensure productive work environment.5. Review and recommend changes as necessary to all material contract documents to ensure timely, accurate and efficient processing and compliance.6. Perform customer order set ups, customer billings and some A/R collections to ensure accuracy, timeliness and cost effectiveness.7. Assist with internal audits and self-audits of business functions to ensure that established internal controls are followed to maintain compliance with Granite’s policies and procedures, including Sarbanes-Oxley requirements.8. Assist other functional leaders with administrative functions to ensure efficiency and accuracy.9. Provide business development support, as needed, for communicating with customers (mailings/ faxes/ invitations, etc.). Depending on work location.10. Assist Plant Engineer with various administrative tasks, as needed.11. Document and generate written procedures and update existing procedures as processes evolve.12. Assist with stocking office supplies for materials building.EducationHigh School Diploma or GED requiredBusiness/Computer classes/skills preferredWork Experience2+ years of data entry and computer experience utilizing MS office products and/or sales systems/programs.Ability to work efficiently and effective under time constraints and in a fast paced environment.Commercial or retail sales experience preferredKnowledge, skills, and abilitiesKnowledge of materials business.Knowledge and experience with Hot Mix Asphalt Plants preferred.General understanding of Plant operations and mechanical requirements.Demonstrated ability to communicate effectively in person and via phone with external and internal customersStrong understanding of federal, state and local laws, policies and procedures.Ability to establish relationships with agencies and represent Granite in a public forum.Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
