Job Description : Office AdministratorPrepare and update a phone/contact list for subcontractors and material suppliersAnswer phones; copy, scan, fax and file documents; greet and direct visitors;Maintain professional appearance and cleanliness of the officeKeep office stocked with office supplies (ie. paper, toner, brochures, furniture…)Run occasional errands for office supplies, material pick-ups…Requirements: 2+ years construction office experience requiredProficient in Microsoft Word, Excel and Outlook, with fast, accurate computer skillsGraphic design experience a plusStrong verbal and written communication skills (spelling/grammar must be accurate)Excellent organizational skillsMust be able to effectively multi-tasking, prioritize, and be a self-starterDetail orientedMust like talking to customers and people on the phone.Administrative Responsibilities Include: Enter, Update and maintain CRM (buildertrend) programEstablish and maintain job contract filesPrepare and Update Safety ProgramsResponsible for general clerical tasks including filing, copying, and mail sortingAnswer and direct incoming calls, touch base phone calls to customer on job status and follow-up calls after the salesperson left residence.Support executives externally as requiredTrack, update and maintain customer leads, salespersons appts, Project deadlines., sales numbers.Supply spreadsheets and data for internal office meeting. Present data to office personnel.Work with different outsourced marketing departments on providing information they need or are requesting.Setting up appts and gathering information from other Vendors as to new products, marketing ideas and setting up open house events.Assist Project Manager in applying for building permits, tracking progress of permits, and printing off issued permits, ready for project to start.Support all office staff in filling in gaps that are needed.About Us: Our Owner and CEO, Thomas Thompson started building sunrooms as a passive solar remodeler in the mid 1970’s.
