Job Description : Linkitall is seeking an Officer Manager a dedicated and committed Office Manager to report directly to the Operation Manager and CEO of the company. The Office Manager is responsible for providing financial, administrative, clerical support, and confidential and time-sensitive material. Must be able to coordinate office administrative and document preparation tasks to ensure accurate payment(s) within an established time.

Responsibilities:
Provide general administrative support.Enforce office’s policy as necessary.Maintain and order posters and compliance documents for the office.Create, maintain, and develop Office’s policy, procedures, and SOPs.Conduct account management by reviewing and tracking invoices for accuracy and uploading invoices.Answer and direct phone calls.Assist with company’s certifications deadlines and submission.Maintain and develop a contact list for the office.Maintain online files and physical personnel records to ensure all files are uniform and properly placed.Receive and review incoming mail.Manage the CEO’s calendar HR calendar and other related calendars.Manage office maintenance and needs of all employees to include ordering all supplies, stationery, and equipment.Schedule meetings.Compose quarterly company newsletter.Conduct cost savings initiatives by researching best pricing options in regards to vendors and service providers.Assist the Operation Manager with recruiting efforts to include monitoring job applications, updating applicant status, creating/posting job descriptions through various sites/community partners.Provide proposal support to the business development team, as needed (create quad charts, compliance matrix, capability matrix, etc…)Respond to HR-related questions as needed.Research various contract opportunities through various sites, such as Seaport, Ebuy, etc..Arrange for service/maintenance of office equipment, including IT equipment, as necessary.Provide meeting minutes.Create, develop, and review memorandum documents as required.Review employee timecards for accuracy on a weekly basis.Assist employees with travel arrangements.Manage social media posts for Facebook Business accounts.Plan in-house or off-site activities, like parties, celebrations, and conferences.Enroll and perform data entry for existing and new employees into benefits portals.Update HR calendar with important dates such as employee’s bday, company’s certification. reminders, employee evaluations, V3 anniversaries, etc.Participate in training and educational opportunities.Other duties as required.
