Job Description : About UsOur mission: Our purpose is to employ a holistic vision of assessment and treatment; a more comprehensive approach to treatment planning; and a rigorous execution of the treatment plan to achieve optimal improvement in each patient’s life satisfaction.About YouOwnership & Results: As Office Manager, you will grow Life InSight through:Maintain positive cashflow position by:Ensuring that client invoices are sent and paid in a timely manner for LifeInsight and Rebecca Yun, LLCKnowing and realizing our potential revenue growth byEnsuring all potential client calls are tracked, managed, responded to in a timely basisReporting on key intelligence across all cliniciansTracking client retention and growth by program and serviceMaking sure the clinical team has more time to do their best work and less time on operationsMaximize our profits and access to financial resources byAccounting for money, identifying opportunities, and ensuring action is takenStandardizing processes and tracking to simplify how we get work done as we grow while keeping the tailored, 1:1, relationship-focused service we provide our clientsWork: A day in your work life may look like:Creating a standard tracking process and system for client calls to track experience, understand referral sources and projected volumes so we can staff appropriatelyTaking calls from clients and routing them to the right placeEnsuring that staff payments are synchronized to client payments and executing all the invoicing, payments etc. adhering to the systems that have been set-up for thatAnalyzing financial and client information on a monthly basis to recommend improvementsPaying staff and managing invoicing to customers and ensuring the two always tie out appropriatelyInvestigating tools to simplify tracking and solve everyday problems to scale Life InSightReconciling Quickbooks each month and ensuring accurate categorization, receipt processes as well as analyzing results and providing reports along with observations on trends to foundersWorking with the accountant each year to ensure taxes are filed accurately and in an optimal wayRunning errands and managing the physical office space as neededSupporting paperwork and data consolidation needs as they arise for foundersRecipe: You’ll need these skills and experiences to deliver on this outcomeDetail-oriented: Nothing gets by you. You catch all the things that can go wrong, and do go wrong so they can be addressed right away.Systems Thinker: You see how the pieces of a puzzle fit together and how to create systems and solve problems with solutions that work in the real world.Client-Focused: You care deeply about each client and their experience with us. You want to know they are responded to and get excellent service and resources even if they don’t end up working with us.Technology acumen: You know how to dig into a tool, recommend options, and figure out how to make it work for the company and the needWork autonomously, but ask questions: You work independently and drive things with little direction, but you also understand when you need to pause and ask questions so work is done properlyOperations Experience (2 years): You have coordinated operations for another office or companyBookkeeping & Quickbooks Experience (2 years): You have managed the books for other companies, closed a year-end process, worked with accountants, and handled payroll, receivables, and payablesBonus – Healthcare Industry Experience: And understanding of insurance billingJob Type: Part-timePay: $20.00 – $25.00 per hourSchedule:8 hour shiftCOVID-19 considerations:All clients are required to wear a mask.Experience:Management: 1 year (Preferred)Work Location: One location
