We’ve set a North Star Goal to positively and equitably transform the social-emotional well-being of 100 million children annually by 2030, and in pursuit of that goal, we’re looking for an experienced Order Entry Specialist to join our team.
As the Order Entry Specialist, you’ll be responsible for the full cycle of order to cash processing functions, including sales order processing, invoicing, receipts, cash application, and collections. You’ll also assist with customer service, records maintenance, and other duties as assigned.
Primary Responsibilities
Order Processing
Ensure all orders get processed (entered, checked, and approved) in an accurate and timely manner
Close cases of processed orders
Process replacements and in-house orders
Invoice all orders daily in a timely manner
Print and mail invoices
Accounts Receivable and Collections
Daily cash management duties including but not limited to entering cash receipts, processing credit cards, and applying payments
Print and mail statements monthly
Monitor and proactively collect on all past-due invoices
Research and propose resolutions to discrepancies, payment disputes, and account delinquency
Proactively propose process or system enhancements to optimize order to cash functions
Customer Service (Internal and External Clients)
Effectively communicate with clients and staff as needed and in a timely manner
Respond to customers’ account questions and requests
Help clients resolve order-related problems and concerns
Prepare vendor applications and W-9s
Update clients’ tax exemption status
Research and resolve client account and shipping issues
Contribute to team efforts by accomplishing backup tasks or other duties as assigned
Qualifications
High school diploma or GED
2+ years using an Enterprise Resource Planning (ERP) system, NetSuite preferred
2+ years of customer service experience
2+ years of accounts receivable experience
Knowledge, Skills, and Abilities
Ability to demonstrate excellent communication skills through effective writing, speaking, and listening
Ability to accurately and efficiently work with a large volume of numbers
Effective organization skills with the ability to prioritize tasks and manage time efficiently
Ability to work well independently as well as collaboratively with a team
Self-motivated with creative problem-solving skills
Ability to maintain confidentiality and exercise discretion
