Job Description : Accounting ClerkDivision 2 – Financial Services Department/Group: Travel Required: Yes Division Location: Sanford, Texas Position Type: Full Time Reports to: Financial Officer Job Category: Non-Exempt — 2 JOB SUMMARY: Under general direction performs a variety of accounting and clerical duties involved in financial record keeping and reporting duties related to accounts payable, receivables, general ledger, receiving and processing invoices and statements and other support of the accounting system, function or program areas; prepares various reports; answers questions and provides information and assistance to other staff and the general public.ESSENTIAL JOB FUNCTIONS: The duties and responsibilities listed below are intended to provide a representative list of the various types of work that may be performed. The omission of specific duties does not exclude them from the position if the work is similar, related or logical assignment to this class.Opens and distributes mail to appropriate personnelProcesses vendor’s invoices for payment, including confirming proper authorizations, verifying expenditure coding, preparing and inputting information into the accounting system and verifying all invoices have been receivedSorts, reconciles, matches, and distributes vendor invoices; verifies approvals and enters invoice information into computerAssists divisions in the proper classification of expensesReconciles Authority pcard transactions and bank statementsPrepares requisitions and purchase ordersTracks and performs follow-up on approved purchase order statusParticipates in departmental budget preparation and budget monitoring activitiesProvides support for the annual auditPerforms a wide variety of administrative duties for management and other division staff as assigned; assists and backs-up other staffOrganizes own work, sets priorities, and maintains critical deadlinesPerforms a variety of general office support tasksMaintains files and records in accordance with company policy and accepted accounting practicesEstablishes and maintains cooperative working relationships with co-workers and outside agenciesKNOWLEDGE, SKILLS AND ABILITIES: Knowledge of: Standard office administrative practices and proceduresBasic cost accounting principles and procedures and arithmetic computationLaws and regulations relating to the financial administration of public agenciesPrinciples and practices used to establish and maintain filesComputer programs and softwareAbility to: Perform responsible administrative support and duties involving the use of independent judgement and personal initiativeLearn Authority policies and proceduresMaintain file systemsPlan and organize work to meet changing priorities and deadlinesWork effectively and maintain attention to detail despite frequent interruptionsBe detailed oriented to help ensure accuracyOperate office equipment such as telephones, copiers, scanners, and fax machinesWork independently in the absence of close supervisionDeal tactfully and effectively with the public and with other Authority employeesFollow oral and written instructions; communicate clearly and concisely, both orally and in writingEDUCATION AND EXPERIENCE: Any combination of education or experience that would likely provide the necessary knowledge and abilities is qualifying. A typical way to obtain these knowledge and abilities would be:Graduation from high school or equivalentBachelor’s in Accounting or;Two years of accounting experience is desiredLICENSES, CERTIFICATES AND/OR SPECIAL REQUIREMENTS: A valid Texas driver’s licenses and the ability to maintain insurability under the Authority’s Vehicle Insurance Policy.PHYSICAL DEMANDS AND WORK ENVIRONMENT The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
