Job Description : Administrative AssistantActivSpace is a local company that leases space to artists, hobbyists and businesses in Seattle, Portland and the Bay Area. While it operates mainly as a property management company, ActivSpace handles all aspects of management, maintenance, and operations in-house. All employees are personally responsible for their work and take pride in offering an honest, open, and positive working environment so that our customers have the opportunity and freedom to pursue their dreams.We are currently looking for an Administrative Assistant to aid in basic office tasks, take on monthly recurring work, and be available for special projects as skills allow. Candidates should have strong verbal and written communication skills, be familiar with general office operations and equipment, and be flexible enough to learn new skills and procedures.Duties and Responsibilities: Vendor contract, insurance, and communication filing.Data entry and reconciliation.Maintain headquarters office appearance including break and common areas.Present areas of improvement for headquarters office. Own and follow through with projects.Coordinate company events.Backup for some senior staff duties.Scanning and printing projects.Track, gather and report data.Retrieve and distribute mail.Provide a wide variety of administrative and staff support functions.Prepare and send monthly customer delinquency correspondence.Report on and manage janitorial and landscaping performance for office.Managing office phones and multiple voicemails.Prepare paperwork for department heads.Other duties based on skills and opportunities.Skills and Experience: 5 or more years of administrative experience.Understanding of filing systems.Strong work ethic and attention to detail.Microsoft Word & Excel – intermediate skill level.Knowledge of general office methods and procedures.Ability to shift priorities and multi task.Real Estate, financial, and/or construction experience is a plus.Experience in handling confidential and highly sensitive information.Strong technical acumen and ability to pick up new skills.Familiarity with AP invoicing and coding.Please email a resume and cover letter.We offer a comprehensive benefits package including medical, dental and life insurance, vacation, sick leave and paid holidays.Job Type: Full-timePay: From $50,000.00 per yearBenefits:Dental insuranceHealth insuranceHealth savings accountPaid time offVision insuranceSchedule:8 hour shiftDay shiftHolidaysMonday to FridayAbility to commute/relocate:Seattle, WA 98103: Reliably commute or planning to relocate before starting work (Required)Education:High school or equivalent (Preferred)Experience:Customer service: 3 years (Preferred)Microsoft Excel: 3 years (Preferred)Microsoft Access: 3 years (Preferred)Microsoft Word: 3 years (Preferred)Microsoft Outlook Calendar: 3 years (Preferred)Adobe Photoshop: 3 years (Preferred)SharePoint: 3 years (Preferred)WordPress: 3 years (Preferred)Accounts receivable: 2 years (Preferred)Accounts payable: 2 years (Preferred)Language:English (Required)Shift availability:Day Shift (Preferred)Work Location: One location
