Job Description : The Department of Professional and Occupational Regulation (DPOR) is an executive branch agency under the Secretary of Labor for the Commonwealth of Virginia. Our regulatory boards are comprised of practitioners and citizens appointed by the Governor and are responsible for regulating certain professions and occupations, ranging from architects and contractors to cosmetologists and professional wrestlers. DPOR supports Virginia’s economic vitality by helping qualified people start businesses and work in their chosen fields. We protect the public by verifying minimum competency, investigating complaints, and upholding professional compliance with state law and regulations.

The Department of Professional and Occupational Regulation is seeking a qualified individual to provide administrative and clerical assistance to the Presiding Officer, to Presiding Board Member(s) for purposes of Informal Fact-Finding Conferences, and generally in all aspects of the Post-Adjudication and Licensing Section.

This position is responsible for the timely and accurate preparation, mailing, and scanning of case file correspondence throughout the administrative process and in accordance with the Administrative Process Act (“APA”). Duties are comprised of the timely review of documentation requests and the subsequent timely and accurate preparation of documents, such as: Notices, Amended Notices, and other correspondence; the coordination and scheduling of Informal Fact-Finding Conferences (“IFF Conferences”); maintaining accurate calendars of Section activities; and the timely processing of case files for board meeting agendas. Duties include communicating both orally and in writing with licensees, applicants, complainants, participants, attorneys, witnesses, board members, and Department staff. This position serves as the primary point of initial contact for board members, attorneys, other intra-agency divisions and the general public for cases in the Post-Adjudication and Licensing Section.

Minimum Qualifications
Clerical aptitude, knowledge of business procedures, office procedures, office equipment and its proper use.
Strong oral and written skills, as well as strong interpersonal skills.
Considerable knowledge of Microsoft Office.
Must possess good organizational skills and diverse clerical skills, with the ability to handle multiple tasks, priorities, and deadlines.
Ability to read and apply regulations and statutes.
Ability to type accurately and efficiently, and proofread all work for accuracy.
Ability to provide customer service to a variety of individuals.
Ability to prepare/type accurate and professional documents and correspondence, utilizing proper grammar.
Attention to detail and ability to provide accurate, error free information and guidance to applicants, licensees, the public, board members, other agencies and others in person, over the telephone, and in writing.
High school diploma or GED required.

Preferred Qualifications
Post high school education preferred.
Administrative Assistant and/or paralegal experience preferred.
