Job Description : Job descriptionPosition Title: Assistant Property ManagerJob Status: Exempt, Full-time positionReports to: Sr. Property ManagerCompany: Vanderbilt Office Properties, LLCPosition Overview – The Assistant Property Manager will provide comprehensive assistance to the Sr. Property Manager in the financial and operational management of two Class A properties to fulfill the manager’s obligations under the PMA. This position is also responsible for cultivating and enhancing the Vanderbilt Office Properties brand, exhibiting legendary customer service when communicating with tenants, prospective tenants, owners, and vendors, and focusing on productivity and results.Primary Accountabilities/Responsibilities: Assist Sr. Property Manager with development and presentation of the annual budget for Ownership approval. Assist with the implementation and management of operating and capital budgets.Prepare monthly ownership reports (including variance reports, executive summaries, and aging reports), general review ledger for adjusting entries or accruals, and review and code invoices correctly.Oversee accounts receivable – review commercial billings and monthly miscellaneous charges, minimize +30 days A/R balances and pursue as necessary, assist tenants with billing questions, late letters, and late fees.Oversee lease administration duties to review lease abstracts, draft lease commencement letters for Sr. Property Manager’s Review, and ensure manager and tenants are compliant with lease terms.Review and have strong knowledge of the individual leases and lease provisions in place for each tenant.Project professionalism and assist in promoting, establishing, and sustaining a positive tenant relations program and maintaining productive vendor relationships.Effectively build and maintain relationships with the internal team and all external contacts, including, but not limited to, vendors, suppliers, tenants, contractors, contracted services, local authorities, local code officials, etc.Promote, establish, and maintain positive relations with tenants via regular, proactive communications, meetings, and routine follow-ups. Ensure customer needs and requests are being met to their expectations. Resolve customer service issues and recommendations in a timely manner and escalate as appropriate. Regularly inform Property Manager of topics discussed and action items to be addressed.Competently manage vendors and contractors through a thorough understanding of all applicable service or maintenance contracts and maintaining open communication with vendors through regular meetings. Ensure that our vendors incorporate VOP cultural values.Partner with Sr. Property Manager and Chief Engineer to ensure fire and life safety programs are in place, conduct tenant fire warden meetings/training, and building fire drills.Work Sr. Property Manager and Chief Engineer on oversight of building and tenant construction projects. Ensure contracted projects adherence to building rules, regulations, and specifications. Coordinate and schedule any required shutdown of building services (e.g., electricity, water, HVAC) to avoid delay of completion of work and disruption to current tenants.Manage the tenant move-in and moveout processes. Upon lease execution, ensure Welcome Letter and Packet are sent to correct tenant contact, order initial tenant signage, coordinate tenant access, etc. Before lease expiration, schedule pre-moveout and moveout inspections, confirm tenant account balance, fill out proper accounting forms for Sr. Property Manager’s Review, etc.Conduct regular inspections of the property and complete inspection reports to ensure property, including back-of-the-house and vacant spaces, are maintained “Best in Class” and are tour-ready at all times.Be familiar with all pertinent documents for assigned buildings, including leases, management agreements, government communications, etc.Assist Property Administrator with verification that tenant and vendor COIs are current and meet all requirements.Assist Sr. Property Manager in training, mentoring and developing the Property Administrator.Perform backup duties to the Sr. Property Manager when that individual is not in the office.Perform other duties as assigned.Requirements for Assistant Property Manager: A minimum of 3 years of property management experience, preferably in commercial/Class A office buildings.Bachelor’s degree in Business Management, Finance, Accounting, or related discipline required.Basic accounting skills or equivalent work experience is highly desirable.Must have superior organizational, analytical, verbal, and written communication skills.Attention to detail, ability to function under tight deadlines, and exercise good judgment.Proven ability to be resourceful, flexible, prioritize and manage multiple projects, and solve problems in a timely manner.Self-motivated with a strong desire to succeed in a fast-paced, entrepreneurial environment.Prior experience managing staff.Excel, Word, Outlook, and computer skills at an intermediate to the advanced level required.CPM or RPA designations or coursework and candidacy are a plus.Class: Full-time, exemptEqual Opportunity Employer.Job Type: Full-timeJob Type: Full-timePay: $65,000.00 – $80,000.00 per yearBenefits:401(k)401(k) matchingDental insuranceEmployee assistance programFlexible scheduleHealth insuranceHealth savings accountLife insurancePaid time offTuition reimbursementVision insuranceSchedule:8 hour shiftMonday to FridayWork Location: One location
