The Gift Administration Office is the official office for acceptance, recording, and receipting of private gifts donated to UCSC (via the Regents) and to the UC Santa Cruz Foundation (UCSC Foundation or “Foundation”). The Gift Administration office also manages pledge and membership administration on behalf of UCSC, its affiliated Friends groups, and the UC Santa Cruz Alumni Association.

The Gift Administration Office within University Relations fulfills critical roles in support of campus fundraising efforts:

Maintaining and ensuring the data integrity of all UCSC campus donor records in the campus Development Database.
Enabling the campus to meet official private gift record keeping and reporting obligations as required by the Office of the President and the Internal Revenue Service (IRS).
Assuring UCSC compliance to IRS regulations, statutes and rulings; Office of the President and campus guidelines and policy; CASE best practices; and federal, state, and other regulatory agencies’ requirements, laws, and promulgations for gift acceptance and administration.
Approving the designation of donations to specific funds in accordance with donor wishes, fund terms and conditions, and gift policy.
Analyzing and interpreting policy governing gift solicitation, processing and administration at all levels to resolve policy and procedural issues.
Under the supervision of the Gift Administration Manager, the Gift Data Specialist is responsible for the review, verification, documentation and data entry of various types of gift, pledge, and other transactions. The Gift Data Specialist is responsible for understanding and operating the Development Database, a highly complex relational database used to track, modify and verify donor and donor-related information. This database is relied on by the entire campus development community as an integral part of the fundraising, constituent engagement, and associated data reporting effort. Due to high levels of interaction and task collaboration with co-workers, the need to meet firm deadlines in a complex work environment, and the potentially sensitive nature of donor relations, this position requires excellent teamwork and interpersonal skills.

JOB DUTIES

30% – Gift Administration Support

Sort, distribute, and process mail.
Assemble receipts, summaries and acknowledgement back-up.
Perform record purges as requested by their supervisor.
File batches.
Participate in team meetings to address data integrity, database enhancement projects, and gift administration issues.
Work in conjunction with other gift administration staff to maintain all digital and paper records in accordance with retention guidelines.
As requested, perform and maintain inventory of supplies and order supplies; prepare order forms as necessary. Requires some lifting and shifting of boxes and files to other locations.
Support other Data Management duties as appropriate including support of Bio Data, Event Management, and other Gift Administration duties.
25% – Gift Documentation Review and Data Integrity

Review documentation on accompanying incoming Regents and Foundation gifts and pledges to confirm accuracy of existing data on the campus Development Database.
Identify documentation problems (e.g., missing information, unclear designations, uncertain charitable intent) and contact appropriate donors, campus departments, or staff to resolve problems.
Determine correct ID number for donor by researching existing Development Database criteria (e.g., past giving record, address, family relationship, etc.).
Identify duplicate individual and corporate donor records and correct problems in cooperation with the Gift Administration Manager.
Note incomplete or inaccurate data on existing donors in the Development Database and correct problems in cooperation with the Gift Administration Manager.
Maintain familiarity with policy, processes and procedures for all types of gift transactions, including but not limited to pledges, cash, matching gifts, gifts-in-kind, gifts for faculty research, and quid pro quo transactions.
45% – Gift/Pledge and Biographical Data Coding & Entry

Perform detailed coding of gift/pledge transactions by determining correct codes used to identify donor designation.
Add donor records as needed by assigning a donor category to identify the donor’s relationship to the University (e.g., alumni, parent, individual, etc.), and entering all pertinent biographical information.
Record Regent and Foundation gift data in the Development Database.
Complete daily positing of gift transaction batches.
Create new pledges at donor’s request and determine corresponding payment schedule.
Perform adjustments to designations, amounts or installment plans by entering correct information within the donor database.
Maintain security of funds and make frequent deposits.

REQUIRED QUALIFICATIONS

Related administrative, clerical, and data entry experience.
Demonstrated experience reconciling and balancing financial records.
Demonstrated ability to perform accurate mathematical calculations.
Demonstrated ability to pay close attention to detail with a high degree of accuracy and the ability to proofread work carefully.
Experience or knowledge of relational databases and the ability to learn and use the campus Development database with proficiency.
Organizational skills sufficient to prioritize work and function independently under pressure of competing deadlines and frequent interruptions.
Ability to learn, comprehend, interpret and relay gift processing information with clarity and accuracy.
Demonstrated ability to exercise good judgment and discretion in handling confidential situations or materials.
Ability to use good judgment to independently solve problems.
Ability to assimilate from oral or written sources, a broad knowledge of policies and procedures and apply them with consistency to individual circumstances.
Excellent interpersonal skills and oral communication skills sufficient to interact effectively and tactfully with diverse groups of people and situations, and to explain complex policies and procedures.
Ability to work in team situations effectively, with flexibility and sensitivity to others.
Ability to handle heavy workload with frequent interruptions and changing priorities.
Typing, word processing, and written communication skills including a good working knowledge of spelling, grammar, and punctuation sufficient to prepare correspondence, memos, and forms with speed and accuracy.
Ability to perform data entry on a computer terminal for extended periods of time with accuracy and speed.
Demonstrated ability to file, maintain, and organize records.
Demonstrated ability to learn and gain good working knowledge of word processing and spreadsheet applications.
Must be customer service-oriented.

PREFERRED QUALIFICATIONS

Knowledge and experience with various computer programs including Google Suite, Perceptive Content or similar document management system, JIRA or similar ticketing/request and workflow system.

SPECIAL CONDITIONS OF EMPLOYMENT

Selected candidate will be required to pass a pre-employment criminal history background check.
Must possess a valid license to drive in the state of California.
Will be required to complete Title IX (Sexual Harassment) training every two years.
Must be able to travel on behalf of University business.
Occasional nights and weekends are required.
