Position : Office Administrator/Executive Assistant
Job Description : Quatrro Business Services is searching for an experienced Office Administrator/Executive Assistant for their Marietta, GA office. As the Office Administrator/Executive Assistant you will serve as the face of the organization and have full responsibility for administrative office and reception duties.
As the Office Administrator/Executive Assistant you will:
Support the Executive Team with administrative duties including letters in Word, spreadsheets in Excel and scheduling in Outlook
Greet all office guests and provides a positive initial experience as a representative of Quatrro.
Answer all incoming phone calls using a phone system with multiple phone lines.
Identify and post all incoming faxes (via digital and/or manual fax) continuously throughout the day.
Prepare outgoing mail, including express mail (UPS), applies postage, and ensures pickup.
Prints financial statements, as requested, for review and delivery within 24 hours of upload.
Prepares and mails some accounts payable checks in conjunction with the AP team.
Manage marketing and tradeshow inventory and all logistics coordination as needed.
Responsible to turn in monthly expense reports each month with proper approvals.
Log all FedEx packages-mailed and received.
Perform other administrative duties as necessary, such as scheduling meetings at the location and coordinating deliveries with vendors or for equipment maintenance.
Coordinate travel arrangements and logistics as required including: planning, booking and expense tracking.
Organize and coordinate office events, special luncheons, and parties.
Monitor and order office supplies.
Maintain the overall cleanliness and order of the front desk, conference room and break area of the office. Weekly office walk-through for maintenance issues and communicate to management.
To be successful in the role you must possess:
The ability to follow general verbal and written directions
The ability to organize and manage multiple priorities and to work independently in a fast-paced environment
Excellent professional communication skills (written and verbal).
Intermediate to advanced Microsoft Office skills
Good project management skills and experience with programs like Microsoft Word and Excel
3-5 years’ experience office administration or reception and experience in an accounting office or environment preferred
