Job Description : NeighborWorks Alaska is looking for a skilled Office Coordinator to undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting our business activities.An excellent Office Coordinator is, above all, an organized and competent professional with phenomenal communication and customer service skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.The goal is to ensure that the office operations are efficient and add maximum value to the organization.RESPONSIBILITIESGreet visitors, determine their needs and contact the appropriate department for visitor escortMaintains and manages the company’s lobby area, conference rooms, and common areasWhen on duty ensures the reception station is covered 100% of the timeOperate a multi-line phone including answering all incoming calls in a prompt, polite, professional manner, and transfer calls to the appropriate person or department quicklyScreen and prioritize mail, email, voice mail and appointments using judgement. Assign, review, track and prepare correspondenceHandles special administrative projects, including word processing, data entry and internet research tasksRecord minutes at board meetingsCreate and maintain filing system which meets all regulatory and departmental requirementsOrders and maintains supplies, and arranges for equipment maintenanceAbility to politely and professionally take control of a call to efficiently collect information, especially from an emotional caller or crisis situationsMust adhere to strict confidentiality / HIPAA Law requirements.QUALIFICATIONSProven experience as office coordinator or in a similar rolePunctual attendance is mandatory. Must be available to work full-time hours: Monday-Friday 8:00 am- 5:00 pmMust adhere to strict confidentiality / HIPAA Law requirementsAbility to obtain and type accurate messages and follow specific written instructionsAbility to politely and professionally take control of a call to efficiently collect information, especially from an emotional caller or crisis situationTo perform this job successfully, an individual should have knowledge of and be proficient in the use of a Microsoft Windows-based computer with proficient typing skills, basic understanding and knowledge of multi-line telephone systems, fax, email, text (SMS), smartphone applications, and internet-based applications/formsMust quickly develop a working knowledge of NeighborWorks Alaska’s services, policies, Standard Operating Procedures, and guidelines for consistent and accurate call handlingStrong interpersonal skills, strong written and verbal communication skills, and the ability to handle multiple tasks with a keen attention to detailAbility to work within a team and with a variety of personality typesDemonstrated self-starter; exhibiting initiative, confidence, professionalism and maturityAbility to attend evening board meetings if requestedProblem-solving and basic troubleshooting skillsAssociate’s/College degree; BS/BA in business administration or relevant field is a plus.Job Type: Full-timePay: From $20.00 per hourBenefits:401(k) matchingDental insuranceEmployee assistance programEmployee discountFlexible spending accountHealth insuranceLife insurancePaid time offVision insuranceSchedule:8 hour shiftMonday to FridayAbility to commute/relocate:Anchorage, AK 99503: Reliably commute or planning to relocate before starting work (Preferred)Education:High school or equivalent (Preferred)Experience:Microsoft Office: 1 year (Preferred)Administrative experience: 1 year (Preferred)Work Location: One location
