Job Description : Front Desk Administrator/ Intake AssociateWelcome! Capitol Hill Consortium for Counseling & Consultation LLC is a well-established and continually growing multicultural and multi-specialty mental healthcare practice, serving the Greater Washington DC region with affordable, insurance-based behavioral healthcare.We are seeking a skilled, hard-working, goal-oriented individual to join our Administrative Team for an on-site position at our Washington, DC office.Our Mission: We work together as a team to provide high quality, accessible, culturally-sensitive mental health service, training & consultation.Responsibilities and DutiesMaintain and execute office opening and closing proceduresWelcome all CCCC customers with warm and professional communication both in person and virtually.Take temperatures of all patients and others coming into the office and record the temperature on the patient sign-in sheetHave all in-person patients complete the Medical Screening form prior to entry and file the forms in the designated folder; Check responses and screen them as needed; if patient responds yes to any prompt, inform clinician and on-site managersOversee office appearance & help maintain sanitationScanning, organizing and uploading documents into EHR System as neededBe responsive and helpful to all patients coming into the office and calling the officeAnswer all front desk phone calls and direct calls to the appropriate administrative team members based on call requestsCheck voicemail throughout day and return all calls within 48 business hoursManage and route challenging requests to office managersSchedule new clients calling into the main phoneline based on location, insurance, preference & availability; Utilize reference materials when placing new clients in order to match needs to appropriate clinician(s)Maintain weekly call log report for new clients & their referral sourcesMaintain professional and pleasant demeanor in all communications/interactions with clients and colleaguesAnswer all incoming calls from new/returning customers.Answer and monitor all new client email inquiries.Answer/Divert all informational/maintenance calls to assigned administrators for future correspondence.Able to respond to clients leaving a message within 24 business hours.Assist with development of clinician caseloads by adding new customers as needed or available.Work collaboratively with clinicians to build/maintain caseloads to meet per week expected billable hours.Clearly communicate with clinicians’ new developments in their caseloads.Assist with strategic scheduling for all CCCC clinicians.Work collaboratively with administrative staff to continually keep clinician caseloads at max capacity.Endorse CCCC services in all capacities.Strive to achieve excellent customer service ratings.Work with supervisor to develop skills, strategies, and techniques to contribute to an effective company ecosystem.Other responsibilities as assignedCandidate Qualifications and Skill RequirementsBachelors Degree from an accredited college or university (Preferred)Experience working in a medical/mental health environmentTake initiativeBe detail orientedBe able to manage multiple projects and a multi-phone line systemHave warm, engaging & attentive customer service skillsHave a positive working attitude with a solution-focused approach to conflictPLEASE COMPLETE: An assessment will be emailed to you after you submit your application to us via Indeed.
