Job Description : JOB GOALResponsible for maintaining student records at the campus level. Process student enrollment, transfers, and withdrawals for thecampus.POSITION QUALIFICATIONS:o High School Diploma or GEDo Minimum of 2 years clerical experience is preferred.DUTIES AND RESPONSIBILITIES:o Keeps track of newly enrolled students until they are properly oriented (ensures checklist is complete)o Keeps track of withdrawing students, and ensure all exit procedures are followed.o Registers new students/withdraw students into the databaseo Enters data for new and previous studentso Inputs the new student information into the databaseo Updates demographic data in computer databaseo Responsible for student withdrawals and documents the withdrawal reasonso Works in collaboration with ESL/Special Ed and GT departments to request newly enrolled student records and sendrecords for withdrawal studentso Reviews newly enrolled students’ documents to see previous SPED/Section 504/dyslexia/ESL/GT information and addthe related students to suspect lists for related programso Responds to TRex requests and initiates TRex requests for newly enrolled studentso Responds to faxed record requests and initiates fax requests for newly enrolled studentso Calls previous schools to request records for newly enrolled students.o Entering paper applications to databaseo Maintains student files and makes sure they are completeo Files incoming records from other schools and passes the records to related departments including ESL/Special Ed/GTdepartmentso Keep soft copy of all files in student folderso Maintain and respect confidentiality of student and school personnel informationo Checks and reviews a variety of data for accuracy, completeness, and conformance to established standards andprocedureso Operates standard office equipment to include, word-processing, and data processing equipment, copiers, laminators, etc.o Handles a variety of routine technical and administrative assignmentso Takes all necessary and reasonable precautions to protect students, equipment, materials, and facilitieso Complies with and supports school and division regulations and policieso Models non-discriminatory practices in all activitieso Performs related tasks as assigned by building administrator(s) in accordance with the school/policies and practiceso Maintains physical and computerized records including student cumulative folders, progress and failure reports, classrosters, schedule changes, and grade books.o Processes new student records, including requesting transcripts and records from other schools, setting up cumulativefolder, and entering student data into appropriate databases.o Coordinates grading process, including processing of scan sheets, verification and correction of grades, and printing anddistribution of report cards.o Processes and transmits request for student information, including student transcripts for colleges and universities.o Prepares and distributes University Interscholastic League (UIL) eligibility lists.o Calculates grade point averages, class rank, and prepares honor rolls.o Assists counselors with the enrollment, withdrawals, and transfer of students and processes applicable records.o Assist campus administration and counselors with the preparation of reports and student data information.o Coordinates ordering and distribution of all graduate materials, including caps and gowns and diplomas.o Maintains confidentiality of information.o Performs other job-related duties as assigned.SKILLS AND ABILITIES:o Ability to communicate effectively in both written and oral forms with all levels of management, both internal and externalto the district.Job Descriptions – Human Resources DepartmentRevised on 6/24/2016o Ability to establish and maintain effective working relationships both internal and external to the district.o Ability to organize special programs for assigned campus.o Ability to use computer including software, database used by the district, spreadsheet and word processing software,calculator, copy machine and telephone.o Ability to analyze datao Ability to use effective interview techniques, effective public speaking skills, and problem-solving skillsWORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:o Light Work: may require occasional light lifting.o Nights and weekend activities will be occasionally required.o Position is in office setting and may involve prolonged work at a desk in one location.o Moderate travel is required.Job Types: Full-time, ContractPay: $18.00 – $24.00 per hourBenefits:401(k)401(k) matchingDental insuranceEmployee assistance programEmployee discountHealth insuranceLife insurancePaid time offRetirement planTuition reimbursementVision insuranceSchedule:Monday to FridaySupplemental Pay:Bonus payEducation:High school or equivalent (Preferred)Experience:Customer service: 3 years (Required)Language:other languages too (Required)Work Location: One location
