We are building a global business that spans across languages, nationalities and borders.What we are seeking: We are searching for an Administrative Manager & Assistant who can join our new team and support the development of our newly created start-up on many levels. Since we are working across time zones to build an online practice platform and an app, develop psychological mental training curricula, train new coaches, and develop a broad international practice community, we look for a manager who can help coordinate all these parallel efforts, create, and enforces timelines and support all team members during calls, meetings, and travels. Candidates should have an eye for detail, be very efficient, able to multiple threads of activities at once and do so with a positive and people-centered attitude. As part of the team, you are helping to bring greater compassion into the lives of others.Some of what the Candidate will do: * Schedule meetings (board and advisory meetings, app development, curriculum development, send zoom links etc.), takes notes, identify follow up tasks, distribute to appropriate people.* Help create timelines for complex project management and coordinate dates* Reinforce deadlines and support keeping to the timeline and deadlines* Write meeting protocols & summaries* Manage documents for the company* Support the CEO and board of directors in their duties* Update and manage webpages, social media pages and public relations* Support the creation and finalization process details of contracts and other legal documents* Support the paying of bills, financial transfers, creating invoices and reimbursements across countries* Organize travels and travel reimbursement (flights, hotels etc.)* Complete administrative projects by identifying and implementing new technology and resources as necessary, improving systems, and recommending increased streamlined processes.More about what we need from the Candidate: We are searching to contract someone for 20-25 hours per week with several years of experience in project management, who likes to communicate with people on an international level and has excellent social and people skills. A familiarity with German and/or French would be favorable but not necessary.Candidates must be very comfortable with current and new software applications, and technology overall. Candidates must know:* Word* Excel* PowerPoint* Zoom and other video-conference software,* Google Suite – Mail, Calendar, Docs, Sheets, Slides* Search – deep skills in research using internet-based web technologiesIdeal candidates are knowledgeable about:* Trello* Slack* Airtable* Hubspot or Salesforce* Smartsheet* WordPressCandidate characteristics: * Strong written and verbal communication skills* Project and process management skills* Attention to detail and professionalism* Efficiency in approach to work and work processes* Strong organizational and analytical skills with the ability to see the big picture* Strong people and social skills and the ability to keep multiple stakeholder and team members on trackEducation & experience* BA or other undergraduate degree* 3+ years of administrative experience in a similar role* Ideal candidates would have a PMP certification, or other formal project management training.Position Details: * Position will be both virtual and local to Capitola, CA,* Eventually the position will be in an office environment in Santa Cruz* Office/Work hours would be from Monday to Friday from 8:00am PST – 1:00pm PST (17:00 CET – 22:00 CET) – Our principal science advisor and other key people are in Berlin which is 9 hours ahead.
