Job Description : SUMMARY:
Provides paralegal and administrative support for the Vice President and General Counsel and the Director of Compliance/Title IX Coordinator. Assists with contract management, manages regulatory filings, conducts research, manages document production, maintains calendars, arranges and staffs meetings, assists with correspondence, responds to and directs phone calls, and manages the budgets for the legal office and compliance department.
RESPONSIBILITIES:
Serve as legal support to the Vice President and General Counsel
Assisting in the management of the University’s contracting process by serving as one of five administrators across campus for the contract management system, including providing support to the legal department and Office of the President;
Conducting legal and other research;
Managing regulatory filings, including State Corporation Commission annual reports, registrations, and change of registered agent filings;
Taking primary responsibility for responding to subpoenas and discovery requests served on the University;
Preparing legal correspondence and documents as well as drafting preliminary letters on behalf of President’s Office to elected officials;
Serving as a project manager for key legal and compliance initiatives;
Preparing briefing material for the President and General Counsel for meetings with key government officials;
Track legislation pending in the General Assembly that potentially impacts the University;
Managing and implementing the process for annual conflict of interest forms for members of the University community;
Reviewing and editing policies and procedures originating from the legal and compliance departments;
Preparing original content for events, initiatives, and outreach for legal and compliance offices;
Managing web presence for legal, compliance, and Title IX departments, including uploading and editing web content;
Serving as departmental contact for campus-wide reporting initiatives; and
Assisting with other projects as needed.
Provide administrative support to the Vice President and General Counsel and the Title IX Coordinator and Director of Compliance
Serves as the primary point of contact for the Office of General Counsel;
Managing the logistics of Title IX Hearing Boards and providing support to Hearing Officer and Hearing Board members leading up to and following UHB;
Managing the budgets for the Office of General Counsel, outside legal fees, and the Compliance Office, including processing, tracking and analyzing outside counsel invoices;
Managing the calendar and all travel for the Vice President and General Counsel and the Director of Compliance/Title IX Coordinator;
Acknowledging and responding to general correspondence;
Tracking and following up on substantive correspondence;
Assisting with preparation of meeting agendas, materials, etc. and distributing as appropriate;
Planning and staffing meetings, preparing minutes, following through on implementation of decisions; and
Managing electronic and paper filing systems.
QUALIFICATIONS:
Ability to create, compose, and edit written materials with careful attention to detail
Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
Ability to investigate and analyze information and draw conclusions
Knowledge of or willingness to learn legal contract, agreement and settlement procedures and documentation
Knowledge of or willingness to learn the principles and procedures of legal research
Highly Proficient with Microsoft Office products, Adobe Acrobat, internet search engines and ability to learn cloud-based contract management system
Demonstrated ability to exercise independent judgment and work independently and under pressure to meet critical deadlines
EDUCATION & EXPERIENCE:
Bachelor’s degree required. Paralegal certificate preferred, but not required.
Minimum of five years’ experience as a legal assistant in an in-house legal department or law firm or as an executive assistant to a vice president, with progressively increasing responsibilities.
WORK HOURS:
Full-time, non-exempt position
Monday to Friday 8:30 a.m. – 5:00 p.m., 7.75 hrs./day, 38/75 hrs./week
All Facilities employees are designated as essential personnel and are subject to work outside the normal work schedule on an emergency basis and are also subject to planned overtime work as required by the immediate supervisor.
SALARY STRUCTURE:
Pay Grade 7 (Hiring Range $25.40 to $33.65 per hour)
