Job Description : Essential Job FunctionsThis position requires the individual to exercise organizational skills, maturity and good judgment with a high level of confidentiality in fulfilling the responsibilities of the essential job functions. Familiarity with FMLA is preferred.The following list of duties is an overview of tasks performed by the Payroll Department, which the Payroll Specialist will either personally perform, or assist as backup to accomplish the daily tasks required, including:Payroll processing: Bi-weekly and periodic bonus payroll process in ADP Workforce Now platform for approximately 300 employees in five locations.Enter new hires/terms in ADP WFN, Timeclock and other firm databases.Assists to ensure accuracy of personal data into various systems and processing and updating the information as received such as ADP payroll system, departmental listing, maps and rosters, new hire and term checklists.Monitor and assist to edit employees’ Timecard data within the On-Screen Timeclock program, which also contains absent time requests and schedules. Quality control oversight; reports and analysis to managers.Compile new hire forms to maintain a New Hire packetCompile benefits forms to maintain a Benefits enrollment packetReview completed packets of forms for each new hire to ensure all have been properly completed and within the proper time frame.Verifying attendance data according to the timecards. Tracing the records of sick leave, vacation leave and annual leave based on existing policies.Receive and analyze information related to unemployment claims, including compilation of payroll and employee history information for completion of responses to notice of claims.Receive and analyze information related to requested leaves of absence to determine if it falls under FMLA and if so, issuance of FMLA paperwork. Follow up to ensure the forms are returned for certification as applicable. Tracking leaves of absence (hourly and salaried personnel); proper notification when an employee is nearing exhaustion of allowed leave time. Timely issuance and follow up on all DOL forms required.Receipt, checking, scanning and filing of quarterly reports from ADP.Receipt, checking and filing of all COBRA forms generated by the agents.Maintain files of HR, FMLA, EEO-1, attendance, benefits documentsMaintain accurate PTO tracking sheet for all hourly employees.Review and respond to employee’s questions regarding benefits via phone or email.Assists with the collection of benefits data for input into payroll process and auditing of information received to ensure ongoing accuracy.Oversight of workers’ comp claims; process and files maintenance.Compile and ensure accuracy of all payroll data for year-end audits, including payroll tax filings, 401k audit and workers’ comp audit.Monthly audit and processing of benefit invoices for payment to carriers.Upload 401k data to employee’s accounts after each payroll cycle.Performs other related duties as assigned*Education & Experience: *A minimum of 3 to 5 years’ experience with payroll processing. ADP Workforce Now experience preferred. ADP Certified Payroll Specialist a plus. Supervisory experience a plus. Associate degree or higher in accounting or payroll related fields is preferred.*Knowledge Skills & Abilities: *Proficiency with payroll and all related tasks.Demonstrate competence in performing tasks with accuracy and attention to detail**Must demonstrate the highest ability to keep records in the strictest confidence.The ability to function under pressure in all areas of work to meet daily, weekly, and emergency time lines.Must exhibit strong organizational, problem solving and time management skills.Must have an eye for detail in ensuring data integrity in payroll and employee benefits informationMust be able to approach each assigned task with a goal of outstanding Customer ServiceProficiency in the use of a computer on Windows platform, heavy use of MS programs.
