Job Description : Job Summary
Under close supervision, processes reports, public requests and other legal documents for the New Braunfels Police Department (NBPD); review records for compliance and accuracy in automated records management systems; provides information within scope of authority.
Primary Duties and Responsibilities

Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.
Ensures consistent delivery of excellent customer service to citizens, visitors, and city employees. Responds to public inquires receives and directs all non-emergency calls to appropriate personnel.
Communicates in a timely and professional manner with citizens, visitors, city employees, vendors applicants and the general public, representing the best interest of the City anticipating needs and resolving customer service inquires and other issues.
Conducts a verity of general reception office duties including preparing correspondence and receipt of deliveries.
Monitors lobby and is active in presenting a professional, organized, comfortable and safe environment for our citizens, visitors, vendors, applicants and the general public.
Assists officers and other agencies in researching information, records and dispatching calls for service in the lobby.
Collect statistical data and review case files for compliance and accuracy with state and federal guidelines with Uniform Crime Reporting/National Incident Based Reporting.
Manage all police files and attachments. Ability to process open records request according to the Open records Act and process accident reports in accordance with DPS rules and regulations
Conducts background checks for offenses within the New Braunfels Police Department jurisdiction.
Prepare cases to be transferred to the appropriate agency for prosecution.
Ability to be comfortable in testifying in court to verify records for the New Braunfels Police Department.
Maintains the absolute confidentiality of all records and information.
Complies with all New Braunfels Police Department policies, procedures, state law and federal law to assure the safety of public personnel and the general public
Performs other duties assigned.
Education, Experience, Licenses and Certifications
High school diploma or GED
Two (2) years clerical experience with a primary emphasis in customer service
An equivalent combination of education and experience
This position requires maintaining absolute confidentiality of all records and information. Therefore, you will be required to submit to a pre-employment polygraph examination as part of the pre-employment screening process.
Required licenses or certifications:
Must possess a valid Driver’s License.
Must be able to obtain technical certificates in TLETS/NCIC within one year of date of hire.
Knowledge, Skills and Other Requirements
Basic Functions, procedures, and policies of the City and Police Department.
City, county, state and Federal laws, regulations, codes and ordinances.
Basic laws and regulations governing the release of information from law enforcement agency records.
Principles of record keeping, case files and records management.
Uniform Crime Reporting Program/ National incident Based Reporting procedures.
Required Skills in:
Operating a telephone system with multiple lines and handling a high volume of phone calls.
Coordinating, prioritizing and performing a verity of clerical duties. Accessing and prioritizing multiple task, projects, demands and events.
Maintaining records and files
Responding to inquiries and providing customer service to the general public.
Reading, analyzing, interpreting and evaluating police reports and research finding applying police standards and procedures, city policies and guidelines and applicable State and Federal rules and regulations.
Operating a personal computer utilizing specialized software and entering information into a computer system with speed and accuracy.
Analyzing problems, providing alternatives and identifying solutions in support of established goals
Effective communication skills both verbal and written.
Physical Demands /Work Environment:
Work is performed in a secure environment, is subject to sitting, standing bending, and reaching for extended periods of time; and must be able to safely pull, push lift, and carry items weighing up to 40 pounds.
May be required to work immediately before, during and after an emergency or disaster
