Position : Project Specialist – Facilities

Position Summary
The Project Specialist provides support to the Facilities Department by executing specific stages of the project to ensure successful project completion. These stages encompass tracking and entering project related data, and supporting department personnel on project related tasks. Preparing and maintaining project plan to monitor schedule, cost, and tasks. Communicating with team, contractors, and vendors; assist with gathering, analyzing, and interpreting data and information; validate, reconcile, track, and submit documents for permanent electronic files.
The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional duties.
Essential Duties and Responsibilities
Coordinate and monitor daily requirements of the projects. Follow-up on communications within the team and with outside vendor resources to keep workflow on track.
Produce reports and track project performance.
Evaluate potential issues and develop solutions.
Work collaboratively with the project team to maximize productivity.
Assist with gathering, analyzing, and interpreting data and information.
Purchase project furniture, fixture & equipment using bank-approved methods.
Perform assigned monthly control certification; ensure discrepancies are brought to the attention of management.
Validate, reconcile, and track project related documents. Prepare documents for imaged retention and hard copy filing.
Provide administrative support for department managers.
Maintain a working understanding of banking operations, workflow, and processes.
Act as back-up for Supply Specialist.
Complete online, written and in-person compliance training within established timeframes.
Other duties as assigned.
Qualifications
Education
Associates’ degree preferably in Communications, Project, or Facilities Management.
Two years commensurate professional experience may be substituted for degree.
Experience
Three years of related experience.
Related military education/experience may be used as a substitute for education or work experience.
Knowledge & Communication Skills
Ability to read, write, and speak English sufficiently to comprehend, analyze, and effectively communicate internally and with outside vendors.
Ability to translate verbal information into written documents.
Ability to focus attention on details, no matter how small or large.
Strong organizational skills; able to multi-task and triage priority tasks effectively.
Excellent time management skills; able to monitor and meet deadlines.
Collaborative working style and team-player attitude.
Must understand and have the ability to implement applicable compliance requirements.
Analytical & Decision Making Skills
Motivated self-starter with active initiative and strong problem-solving skills, who is able to handle sometimes challenging situations with supervision.
Must have the capability to resolve most questions or concerns independently and recognize the need for escalation.
Ability to read, comprehend, and analyze lease, contract, and building plan documents.
Computer/Software/Other Equipment Skills
Advanced knowledge of Microsoft® Office Suite. Ability to operate standard office equipment such as PC, printer, fax/copier, and telephone.
Working Conditions
The noise level in the work environment is usually moderate.
Work is performed in a professional office environment.
