Job Description : JOB TITLE: SecretarySALARY: According to placement on current salary scheduleTERMS OF EMPLOYMENT: 9 month/10 month/12 month positionsJOB QUALIFICATIONS: Education: High school diploma or equivalentExperience: Trained and experienced in the use of telephone equipment requiredPrevious, successful experience in public contact relations preferredComputer experience requiredSocial media knowledge preferredCertificates/Licenses: Valid Colorado Driver’s License preferredJOB EXPECTATIONS: Demonstrates positive customer service skillsDemonstrates effective organizational, problem solving and conflict resolution skillsDemonstrates ability to prioritize tasksDemonstrates ability to work independentlyDemonstrates aptitude and interest for the work to be performed and meet deadlinesDemonstrates punctuality and good attendanceDemonstrates confidentiality as related to jobReports all unsafe conditions/activities to supervisor, human resources or risk managementFollows appropriate district policies and proceduresDevelops and maintains professional working relations with other district employeesJOB SKILLS: Excellent skills when dealing with the public in person and by telephoneDemonstrates excellent ability to speak correctly, clearly and articulatelyDemonstrates working knowledge of database, mail merge and spreadsheet in addition to word processingESSENTIAL FUNCTIONS: Monitors and permits visitor entry into the administration building based on security and safety protocolsGreets and assists visitors entering and exiting the administration buildingPresents a positive image of the district at all timesHandles sensitive and confidential information with professionalism, good judgment and diplomacyOperates multi-positioned telephone equipment to receive and relay incoming, outgoing and intra office callsHas general knowledge of district policies, practices and procedures and can answer questions of callers utilizing reference information as neededReceives and relays telephone messages for administration building personnelAssists administration building secretaries with overflow work as needed and as assignedMaintains an attractive and comfortable reception areaPrepares written communication as requested by the secretary to the superintendent and other administration secretarial staff as approved by the secretary to the superintendentMaintains a schedule of the district’s board room and other conference rooms and informs custodial staff of the scheduleTrains substitutes how to properly use the multi-positioned telephone equipmentAssists in creating the district master schedule and instructional calendar as assignedDistributes written communication from the director of communication to appropriate facilitiesMonitors and redirects electronic communication generated through all multi-media sources to the appropriate departmentAssists with organizing and maintaining ongoing records for the Home School Program and El Paso County, as assigned by the assistant superintendentPerforms other tasks as may be assignedPHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
