Job Description : DescriptionPerforms intermediate level clerical, mathematical, and computer work. Assists in a variety of duties crucial to the Planning Department’s daily function. Performs receptionist duties.Essential FunctionsThe requirements for this position include, but are not limited to, those outlined below. It is the employer’s discretion to add or change the duties or requirements of this position at any time.Serves as the receptionist, directs calls within the department, and answers inquiries about routine procedures and policies;Distributes incoming and outgoing mail to office personnel;Collects fees, writes receipts, prepares invoices and compiles the daily deposit;Scans all applications (including tag and appropriate labels) to Laserfiche;Orders and maintains an inventory of office supplies;Maintains mailing lists for the department;Assists in the establishment and maintenance of the department’s filing and record keeping systems;Posts a variety of information from standardized media to control records;Assists all clerical staff with essential functions of the department; and,Performs other duties as assigned.Typical QualificationsEducation: Any combination of education and experience equivalent to graduation from high school, supplemented by secretarial, clerical, and computer experience performed in a professional environment or related practical experience in a similar environment required. Applicable experience or continued education in courses may be substituted on a year-to-year basis for any or all degree/experience requirements.Experience: Entry level clerical and computer experience performed in a similar, professional environment.Knowledge, Skills and Abilities: Thorough knowledge and use of standard office practices, procedures, and clerical techniques. Skilled in the use of business English, spelling, and mathematics. Ability to type/keyboard accurately at a reasonable rate of speed. Skilled in computer operations using various programs. Ability to file alphabetically and follow difficult oral and written instructions. Ability to compose correspondence and other materials independently or from verbal instruction, marginal notes, or drafts. Skilled in the use of standard office equipment. Ability to greet and assist the general public and possess excellent phone etiquette. Ability to work with limited supervision. Ability to maintain a high level of confidentiality. Ability to establish and maintain professional and effective working relationships with co-workers, other agencies and the general public and possess professional telephone etiquette.Supplemental InformationPhysical Demands and Environmental Conditions: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. Requires light physical effort working almost exclusively with lightweight materials (up to 30 pounds) including but not limited to walking, talking, stooping, sitting (for extended periods), kneeling, bending, reaching and gripping. Vocal communication is required for expressing or exchanging ideas by means of the spoken word. Hearing is required to perceive information at normal spoken word levels, and visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities. Office work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g., business office, light traffic).Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Heated and air-conditioned office.
