The Energy Division is looking for two Administrative Assistant 3’s (AA3) to be part of the Buildings Unit, State Efficiency and Environmental Performance (SEEP) office, and Policy office within the Energy Division. Ideal candidates will have a combination of administrative efficiency and curiosity for what we do here. We like coming to work every day and we want someone who feels the same way.

This position provides high-level administrative support and services to Managing Directors, as well as program managers and unit staff. Are you collaborative, customer centric, friendly, and enjoy working on a wide range of projects? You could be the one we’re looking for.

These positions rely on knowledge of state government and administrative policies and procedures, office methods, research methods, and data collection to support the day-to-day functions of the Energy Division.

Duties
Coordinates the daily activities of the Managing Directors (MD) with other internal and external calendars, based on unit and division priorities.
Develops and maintains unit/division standards and procedures to ensure adherence to agency policies and division guidelines regarding budgeting, personnel actions, and contract administration.
Serves as a liaison between the MDs and other staff members, transmitting assignments, ensuring deadlines are met, and reviewing for appropriateness and consistency with agency policy.
Coordinates arrangements for meetings and conferences, such as facility planning; travel arrangements for program staff, contractors, and division administration on official state business; and payment of fees and preparation of materials.
Coordinates scheduling, logistics, agendas, and note-taking for unit and division meetings.
Exercises political judgment and works cooperatively with diverse staff and stakeholders while acting as a designated representative of the Energy Division and the agency at meetings and in office correspondence.
Facilitates information sharing and collaboration within these teamsand with other units and organizations.
Coordinate personnel actions for the division, including recruitment, selection, interview, appointments, promotions, and on-boarding of new employees.
Ensures position description forms, work schedules, telework agreements, and performance evaluations are kept current for division staff.
Exercises delegated signature authority for correspondence, purchasing, travel vouchers, invoices, and timesheets when needed.
Qualifications
Required Qualifications:
High school graduation or GED
AND
Three years of progressively responsible experience in one or more of the following (formal education will substitute year for year for experience):
Office/clerical administration
Secretarial
Bookkeeping
Accounting
General administrative work
Advanced skills in the use of Microsoft Office programs (Word, Excel, Outlook, and PowerPoint).
Knowledge of government organization and administrative procedures.
Ability to comprehend and implement agency and division policies and procedures.
Ability to communicate effectively, both verbally and in writing.
Ability to determine, organize, and prioritize workload.
Ability to work both independently and collaboratively with others.
Ability to maintain a high level of confidentiality.
Professional, cordial interpersonal skills; maintain professional and respectful demeanor in stressful situations.

Work From Anywhere…
This position may be located remote within Washington state; however, there is an expectation of commute to the Olympia office to attend regularly scheduled meetings, yet to be determined. If selected, you will need to travel to pick up equipment and receive instruction while observing social distancing. Due to the COVID-19 pandemic, telework (mobile-work) is expected. When approved to return, the incumbent will work with their supervisor to identify an appropriate work schedule and balance, including telework and reporting to the Olympia, Washington duty station for work activities, if needed.

Commerce’s main office is located in Olympia; however we also have locations in downtown Seattle and Spokane.

Olympia
